Position OverviewWe are looking for an experienced, highly focused Scheduling Coordinator to own the daily schedule for our busy medical/dental office. This role is dedicated entirely to scheduling - not shared with front desk duties - so we need someone who thrives in a fast-paced clinical environment, stays on task without getting distracted, and can move quickly and accurately under pressure.
What You Will Do (Key Responsibilities)- Own the
Schedule:
Build, manage, and optimize the daily and weekly patient schedule to keep the clinic running efficiently and minimize gaps or overbooking. - Appointment Management:
Schedule, confirm, and reschedule appointments by phone, email, and text, keeping the calendar accurate in real time. - Recall & Follow-Up:
Track patients due for recall or follow-up visits and proactively reach out to keep the schedule full. - Provider Coordination:
Communicate closely with providers and clinical staff to align scheduling with treatment plans, procedure time requirements, and provider availability. - Problem Solving on the Fly:
Quickly adjust the schedule to handle cancellations, no-shows, and last-minute changes without losing composure or momentum. - Accurate Data Entry:
Maintain precise patient records and scheduling notes in our practice management software.
- Proven Experience:
Prior experience as a scheduling coordinator, medical/dental scheduler, or similar role in a healthcare setting is required. - Speed & Accuracy:
Demonstrated ability to work quickly and precisely in a high-volume scheduling environment. - Focus:
Strong ability to stay on task and avoid distraction in a busy, fast-moving office. - Software
Skills:
Comfortable with digital scheduling and practice management software. - Communication:
Clear, professional phone and written communication skills. - Reliability:
Dependable and punctual, with a calm, steady approach under pressure.
