Established in 2011 by actor and humanitarian Gary Sinise, the Gary Sinise Foundation honors and supports our active-duty military, veterans, first responders, and their families. Through programs designed to inspire and uplift our nation’s heroes, we aim to make a meaningful difference in the lives of those who serve and sacrifice for our freedom.

Position Summary

The Community Outreach Coordinator plays a key role within the Foundation’s Community Outreach Department, helping to plan, manage, and execute more than 50+ impactful Community Outreach Events annually. Reporting to the Community Outreach Assistant Manager, this role supports the Foundation’s mission through exceptional event planning, logistical coordination, with a focus on families of the fallen communities. The ideal candidate is a driven, highly organized professional who thrives in a fast-paced, detail-oriented environment and is comfortable managing multiple projects while traveling extensively.

Key Responsibilities

  • Support end-to-end event coordination, including venue selection, vendor sourcing, budget tracking, and timeline development.
  • Handle all administrative and logistical functions including contracts, shipping, communications, and support on-site management.
  • Prepare and manage detailed travel and event itineraries, including flight manifests, lodging, transportation, and food & beverage arrangements.
  • Manage vendor relationships, secure quotes, and ensure budget compliance.
  • Support the partnering with marketing, PR, and design teams to ensure event messaging, materials, and communications are aligned with Foundation branding and goals.
  • Maintain consistent and compassionate communication with internal and external stakeholders, particularly with families participating in community events.
  • Management of Families of the Fallen (SBE) Community Outreach Events:
    Support the planning, execution, and follow-up of 30+ community events nationwide each year.
  • Support and serve as the on-site lead for most events, ensuring logistical excellence and meaningful experiences for attendees.
  • Ensure all aspects of each events’ logistics are managed, including communication with families, travel arrangements, itineraries, and support materials.
  • Support the partnership and logistics for the Serving Heroes Program.

Qualifications

  • Bachelor’s degree preferred;
    Business or Event Management focus preferred. 1-3 years of pertinent job experience required.
  • Valid driver’s license and ability to travel, as needed.
  • This is an in-office role with standard work hours of 8am-5pm CDT; flexible hours will be required for events.
  • Travel (over 50%) is necessary, with occasional nights and weekends.
