Time & Pay Inc is seeking a detail-oriented and customer-focused Payroll Specialist to join our team. We are a locally owned payroll service bureau serving multiple clients with strict deadlines and high service expectations.
This role requires strong multitasking skills, accuracy under interruption, and professional client communication. It is ideal for someone who thrives in a fast-moving environment and takes pride in dependable, deadline-driven work.
What You’ll Do- Process payroll accurately and on time for approximately 60 clients
- Prioritize tasks daily to ensure payroll deadlines and client expectations are met
- Enter and update payroll data including pay rate changes, deductions, tax updates, new hires, and other requests
- Upload and reconcile 401(k), HSA, and Workers’ Compensation files
- Send payroll previews, follow up with clients before deadlines, and finalize payrolls
- Respond to client emails and calls professionally and promptly
- Manage frequent task switching while maintaining accuracy and organization
- Research and resolve payroll questions by reviewing system history, notes, emails, and records
- Assist with quarterly and year-end reporting
- Maintain strict confidentiality of payroll information
- Identify opportunities to improve efficiency and workflow processes
- Strong customer service skills (our top priority)
- Ability to prioritize competing tasks and manage interruptions without sacrificing accuracy
- Calm, organized, and professional under deadline pressure
- Detail-oriented with strong follow-through
- Comfortable learning new systems and working across multiple platforms
- Curious and interested in understanding how and why payroll processes work
- Willing to explore available resources, investigate issues, and ask thoughtful questions while collaborating with team members
- Self-motivated and proactive in developing skills, improving processes, and contributing to team efficiency
- Payroll or timekeeping experience
- Familiarity with Payentry or Swipe Clock/Time Works Plus
- Strong Microsoft Excel skills (including data organization, basic formulas, and working with spreadsheets for data import)
We provide training for candidates who demonstrate aptitude, professionalism, and work ethic.
Compensation & Benefits- $16–$19/hour starting range, based on experience and demonstrated ability
