As the right hand to our Executive Director of Family Partnerships, you'll be the backbone of our principal and major giving program. Your mission? To ensure that every aspect of our operations runs like a well‑oiled machine. From managing calendars and coordinating meetings to handling correspondence and travel arrangements, your organizational prowess will be at the heart of our success. You'll be the go‑to person for document preparation and management, data entry, and providing crucial support to our team on various projects.

This is an in‑office role in Franklin, TN

Daily Responsibilities
  • Provide administrative support for the Executive Director of Family Partnerships and Major Gifts Managers including but not limited to correspondence of both confidential and non‑confidential matters, photocopying and faxing, proofreading, e‑mail, and voice mail communication, assistance with monthly expense reports, internet research, and other general administrative functions as needed.
  • Schedule, organize, and keep the calendar of the Executive Director of Family Partnerships.
  • Collaborate with the team to organize donor market visits, managing tasks such as scheduling flights, booking hotels and rental cars, and coordinating meeting locations and reservations. Proactively confirm travel itineraries and accommodations and assist in preparing travel packets for the team.
  • Assist the Executive Director of Family Partnerships with weekly reports including but not limited to campaign reports, program reports and weekly project reports on strategic initiatives.
  • Utilize our CRM system in support of Principal donor portfolios, including but not limited to updating donor notes and activities, ensuring the accuracy and completeness of information, and uploading documents.
  • Support the Executive Director of Family Partnerships with occasional communication to Principal and Major giving level donors as needed.
  • Collaborate with EMF team members/departments as necessary.
  • Adhere to guidelines and administrative procedures including submitting expense reimbursements, invoices, and contact reports.
  • Perform other duties as required to advance the mission of EMF.

Qualifications & Requirements
  • High school diploma required. AA degree preferred.
  • 2-4 years administrative experience.
  • Prior event coordination/project planning experience is a plus.
  • Demonstrated ability to develop and maintain key business and intra‑organizational relationships and have a strong customer focus.
  • Must be able to adapt to a wide range of people from diverse backgrounds to achieve mutually positive outcomes.
  • Excellent written and verbal communication skills.
  • Strong computer skills; advanced knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Effective time and detail management with the ability to manage and complete several projects at the same time.
  • Ability to multi‑task and work within a fast‑paced environment.
  • Excellent interpersonal skills.
