Position Overview

The Administrative Assistant provides proactive support across firm operations, ensuring efficiency, organization, and a high standard of client and internal service. This role requires strong attention to detail, adaptability, and ownership of day‑to‑day administrative functions.

Requirements
  • High School Diploma or GED required: some college or additional training preferred.
  • 3+ years of administrative experience (experience in a professional services or accounting firm is a plus).
  • Strong communication and interpersonal skills; able to build positive relationships with clients and team members.
  • High attention to detail and strong organizational skills.
  • Ability to manage multiple priorities and adapt quickly in a fast‑paced environment.
  • Self‑directed with a strong sense of ownership, accountability, and follow‑through.
  • Proactively supports evolving team needs and demonstrates a commitment to continuous learning and growth.
  • Able to work both independently and under direction.
  • Professional, reliable, and able to execute tasks with accuracy and efficiency.
  • Comfortable navigating and resolving conflict or challenging situations.
  • Proficiency in Microsoft Office and general office equipment.
  • Typing speed of 30+ words per minute.
  • Ability to sit and work at a computer for extended periods.
Key Responsibilities
  • Answer multi‑line phones.
  • Prepare and qc drafts and reports.
  • Client correspondence.
  • Process bank deposits and post payment to the firm’s time and billing software.
  • Track and maintain monthly AR.
  • Process mail.
  • Scan work papers and/or other documents into appropriate software file locations.
