About the Job:MMNA is seeking an Executive & Marketing Assistant who is highly organized, proactive, and resourceful. This role combines executive support with hands‑on marketing coordination in a fast‑paced, collaborative setting.
This position reports to the Brand Marketing Manager and involves providing administrative support to senior leadership while contributing to day‑to‑day operations and strategic initiatives of the Marketing Department.

The Executive & Marketing Assistant is a trusted partner who offers high‑level administrative support, coordinates marketing operations, manages financial and billing processes, and assists with department projects and events.
Key attributes include exceptional organizational skills, strong attention to detail, excellent communication, and the ability to manage multiple priorities while maintaining professionalism and confidentiality.
Responsibilities:- Executive Support
:
Manage calendars, schedules, travel and expense reporting for the CEO, VP of Marketing, and other executives. Prepare agendas, materials, presentations, and minutes. Screen calls, mail, visitors, and inquiries. - Marketing and Department Support
:
Provide administrative support for campaigns and projects, conduct research, prepare reports, maintain department files, coordinate events and vendor communications, and liaise between Marketing and other departments. - Financial and Operational Support
:
Process invoices, support monthly accruals, assist with budget tracking, billing, and expense reconciliation, and coordinate purchase requisitions and orders. - General Administration
:
Prioritize competing deadlines, identify process improvements, provide cross‑departmental support, and perform special projects as assigned.
- 2+ years of experience supporting executives, marketing teams, or administrative operations.
- Proven ability to handle confidential information discretely.
- Strong organizational and time‑management skills with the ability to manage multiple priorities autonomously.
- Excellent written, verbal, and interpersonal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Attention to detail and commitment to high‑quality work.
- Team collaboration and relationship‑building across departments.
- Full‑time availability with flexibility for occasional overtime and onsite presence 4–5 days per week; offsite attendance as needed.
- Diploma or degree in Business Administration, Marketing, Communications, or a related field.
- Experience with budgeting, invoice processing, financial administration, and event coordination.
- Knowledge of marketing platforms, digital tools, or CRM systems is an asset.
Base salary ranges from $24.04 to $28.85 per hour, determined by experience, skills, and qualifications. We also offer a comprehensive benefits package, including 401(k) with company match, Medicare, health, dental, vision, and additional perks.
