Deputy Clerk III/(Trustee's Office) Full-Time

The Deputy Clerk III performs duties involving the receipt and processing of payments, maintenance of financial and administrative records, reconciliation of transactions, preparation of reports, and assistance to the public with questions regarding county taxes and related services. The position may also provide guidance and assistance to other clerical staff and perform more complex assignments requiring independent judgment.

Essential Duties and Responsibilities

  • Provides professional and courteous customer service to the public in person, by telephone, and through written or electronic communication.
  • Receives, processes, and accurately records tax payments and other payments received by the Trustee’s Office.
  • Operates cash registers, payment processing systems, computers, and other office equipment.
  • Balances and reconciles daily cash, checks, electronic payments, and other financial transactions.
  • Maintains accurate records and files in accordance with County policies and applicable laws and regulations.
  • Assists taxpayers with questions regarding property taxes, payment options, account balances, receipts, penalties, and related matters.
  • Researches account information and resolves discrepancies or refers complex matters to appropriate supervisory personnel.
  • Processes refunds, adjustments, transfers, and other financial transactions as authorized.
  • Prepares correspondence, receipts, reports, spreadsheets, and other documents.
  • Assists with daily deposits and related documentation.
  • Reviews documents and transactions for completeness, accuracy, and compliance with established procedures.
  • Enters and retrieves information from computerized databases and financial systems.
  • Maintains confidentiality of taxpayer, financial, and other sensitive information.
  • Assists with audits, reconciliations, records requests, and other financial or administrative reviews.
  • May assist with training and providing guidance to Deputy Clerks and other office personnel.
  • May be assigned responsibility for more complex clerical functions or special projects.
  • Follows all County policies, procedures, and applicable laws and regulations.
  • Performs other duties as assigned.

Required Knowledge, Skills, and Abilities

  • Knowledge of general office practices, procedures, and customer service principles.
  • Knowledge of basic accounting, cash-handling, and financial recordkeeping practices.
  • Strong mathematical and reconciliation skills.
  • Ability to accurately handle and account for large volumes of financial transactions.
  • Ability to operate computers, standard office equipment, and applicable software systems.
  • Ability to learn and effectively use County financial and tax-related systems.
  • Strong attention to detail and accuracy.
  • Ability to maintain organized records and files.
  • Ability to communicate effectively and professionally with the public, coworkers, elected officials, and other County departments.
  • Ability to exercise sound judgment and maintain confidentiality.
  • Ability to prioritize work, meet deadlines, and work effectively in a busy public-service environment.
