JOB SUMMARY:
The Administrative Operations Associate plays a key role in supporting the daily operational, administrative, and client-service functions of our wealth management firm. This position ensures smooth office operations, maintains essential office systems, supports employee onboarding, and assists with firmwide operational workflows. This role requires impeccable attention to detail, strong organizational skills, and the ability to provide proactive support to both internal teams and clients.
Success in this role is characterized by accuracy, follow-through, and confidentiality. The ideal candidate is service-oriented, tech-savvy, and thrives in a professional, collaborative environment.
JOB DUTIES AND RESPONSIBILITIES:
Office Operations
- Approve and electronically file check blotters and rollover suitability forms
- Notify Client Experience Coordinator of any supply needs for the break room
- Administer firm stamps, including notary and Medallion Signature Guarantee (training provided if not already certified)
- Coordinate mail and shipping services: UPS pickups, certified mail, ordering postage/supplies, interoffice shipments and check mail room for mail and packages throughout the day
- Pitney Bowes Machine- add funds, order ink and change ink, as needed
- Monitor the Operations Inbox; respond to internal questions and process requests as needed
- Answer incoming calls for the Franklin Office main link and handle voicemails
- Support Client Experience Coordinator as backup during lunches, PTO, and absences, as needed
