We are seeking a Client Operations Associate to join a highly relationship-driven wealth management team known for delivering a personal, high-touch client experience. This role is not a traditional back-office operations position — the quality and thoughtfulness of each interaction matters more than volume.

We are seeking a Client Operations Associate to join a highly relationship-driven wealth management team known for delivering a personal, high-touch client experience. This role is not a traditional back-office operations position — the quality and thoughtfulness of each interaction matters more than volume.

You will serve as a trusted point of contact for clients while supporting client service and operational workflows. The ideal candidate anticipates needs, communicates proactively, and approaches service with a concierge mindset: How can I make this easier for the client before they have to ask?

This team operates with minimal oversight and values ownership, judgement, and emotional intelligence over rigid process-following.

  • Owns requests from start to resolution, providing solutions rather than handoffs
  • Exercises strong judgement, discretion, and emotional intelligence in every interaction
  • Operates independently with minimal oversight while keeping stakeholders informed
  • Elevates the client experience through thoughtful details and a concierge-level mindset
JOB DUTIES AND RESPONSIBILITIES:

Client Service & Relationship Support
  • Serve as a primary day-to-day contact for client requests and follow-ups
  • Provide white-glove service through thoughtful, proactive communication
  • Read between the lines of client interactions to anticipate needs and concerns
  • Own client issues from start to resolution — providing solutions, not handoffs
  • Over-communicate appropriately to ensure clarity and confidence for clients and advisors
  • Support and learn full Client Service Associate (CSA) responsibilities
Operations & Administrative Execution
  • Process account paperwork, transfers, rollovers, and maintenance requests
  • Coordinate and track outstanding service items through completion
  • Maintain accurate CRM records and documentation
  • Prepare for client meetings and ensure seamless follow-through afterward
  • Handle client gifting, special requests, and personalized touches
Proactive Client Experience Management
  • Anticipate upcoming client needs and deadlines
  • Identify ways to improve processes and reduce friction for clients
  • Execute thoughtful touches that elevate the client experience
  • Act with forethought rather than reacting to problems after they occur
REQUIRED QUALIFICATIONS:

  • 2–5 years of professional experience in a corporate or professional services environment
  • Strong written and verbal communication skills
  • High attention to detail and organizational ability
  • Ability to manage responsibilities independently without micromanagement
  • Demonstrated critical thinking and sound judgement
  • Comfort interacting directly with clients
PHYSICAL DEMANDS:

  • Ability to work in a traditional professional office setting or remote equivalent
  • Prolonged periods of sitting at a desk and working on a computer
  • Advanced computer skills and ability to effectively operate computer equipment, software systems and databases
  • Work schedule may vary and is determined by project schedules
  • Ability to efficiently operate all job-related office equipment
  • Ability to communicate via telephone, computer and work in virtual teams
  • Must be able to lift up to 15 pounds at a time
  • Ability to travel using personal vehicle to other office locations as needed
