Position Overview

The Loan Officer Assistant position supports the Franklin, TN office of Cross Country Mortgage. The role is responsible for accurately setting up new purchase applications, issuing pre‑approval letters, processing and disclosing loans, and overseeing the success of every loan from contract to close.

Job Responsibilities
  • Serve as the primary contact and liaison between clients, Branch Manager, Branch Sales Manager, and/or assigned Loan Originators.
  • Contact borrowers within 24 hours after the LO appointment, review loan applications and documents, and communicate pre‑approval parameters.
  • Request and review the cash, credit, and income qualifications of all borrowers.
  • Review documentation within 24 hours of receipt for discrepancies, omissions, verified income calculation, asset verification, and Encompass updates.
  • Notify Loan Originators immediately when any discrepancies are found on documentation.
  • Track all requested documents in Encompass.
  • Communicate any red flags or major potential issues to the LO, Team Captain (if applicable), and Realtor partner.
  • Meet deadlines (loan documents to title 3 days before closing) while maintaining multiple assignments.
  • Handle all payment scenario requests.
  • Accurately pre‑approve all borrowers and supplement the pre‑approval letter with any pertinent documents.
  • Rush pre‑approval requests when necessary.
  • Provide courtesy phone call to the referring Realtor within 24 hours of issuance.
  • Accurately onboard newly received contracts for Rate Lock consultation.
  • Expeditiously submit and disclose the loan application to remain TRID compliant.
  • Provide outstanding borrower updates, pre‑closing, and funding calls (if applicable).
  • Ensure 95% of all loans close on time with a mandatory daily gauge check to address choke points.
  • Attend weekly pipeline calls to handle 95% of all loan problems before escalating to the LO.
  • Provide excellent customer service both internally and externally.
  • Be available to work varying hours and overtime if needed.
Qualifications and Skills
  • High School Diploma or equivalent.
  • Minimum 5 years’ current conventional fixed and ARM, HELOC, and construction mortgage loan processing or origination experience.
  • State and Federal NMLS License preferred.
  • Experience in Mortgage Loan Processing.
  • Experience with RESPA and mortgage and consumer lending regulations and loan documents, preferred.
  • Working knowledge of all major investors’ guidelines.
  • Experience with Encompass.
  • Excellent written and verbal communication skills.
  • Excellent communication and collaboration skills.
  • Skill in utilizing text messaging platforms effectively.
  • Excellent prioritization skills to meet established deadlines and KPIs.
  • Skill in analyzing cash, credit, and income to ensure accurate pre‑approval.
  • Proficient in DU, LP, Microsoft Office & Windows and ability to adapt to new technologies.
