You will operate as the CEO’s operational right hand — ensuring executive focus, organizational clarity, and cross-entity momentum across Guardian Financial Group, Guardian Wealth Solutions, Guardian Tax Advisors, and Guardian Elite Services.
This is not a traditional administrative role. It blends Executive Assistant, Project Manager, and Operations Support functions to free executive bandwidth, drive alignment, and protect
Mission:
Keep the CEO operating only on what moves enterprise value and protects people — delegate or systematize everything else.
Key Outcomes- Within 90 days, success in this role looks like:
- Daily executive rhythm fully established (7:30 a.m. sync, shadowing, async recap).
- Calendar, task, and project management systems standardized and enforced.
- Enterprise priorities tracked across multiple entities with measurable visibility.
- Reduced decision fatigue for the CEO through proactive filtering and routing.
- Communication loops tightened — no dropped commitments from client or partner calls.
2. Strategic Execution & Project Oversight
- Shadow CEO on all major Zooms and calls (client, internal, and partner) to capture deliverables and commitments.
- Translate discussion outcomes into actionable tasks within Zoho, SharePoint, or other approved systems.
- Work with the CEO on development of a live Enterprise Dashboard project to centralize visibility across Guardian Financial, Wealth, Tax, and Elite entities — tracking performance, compliance, and operational priorities as a future executive mission control system. This dashboard may integrate with Zoho or other enterprise systems as determined during implementation.
- Support cross-entity initiatives with the CEO by defining goals and risks, building tracking processes, and helping delegate implementation across responsible parties.
- Scope will expand in phases as structure stabilizes; EA and CEO will jointly determine project rollout order.
3. Organizational Communication & Delegation
- Serve as the first line of delegation — assigning, tracking, and verifying task completion across teams.
- Communicate on behalf of the CEO when routing decisions or clarifying priorities.
- Draft or edit correspondence, internal updates, and client communications as needed.
- Maintain accountability through task logs, SOP updates, and recurring check-ins.
Core Responsibilities1. Executive Focus & Time Defense
- Act as the primary gatekeeper for the CEO’s time, decisions, and incoming requests.
- Implement and manage a priority matrix that filters all meetings and commitments.
- Conduct daily 7:30 a.m. executive briefings to review tasks, blockers, and nonnegotiables.
- Coordinate end-of-day async recaps summarizing progress, decisions, and risks.
- Proactively schedule and prepare the CEO for key meetings.
- Authority:
The EA is authorized to decline, reschedule, or reroute meetings and commitments on behalf of the CEO when they do not align with enterprise priorities. All scheduling and project requests flow through this role. When unsure about a decline or reschedule decision, the EA may confirm alignment in the next morning briefing or via a
- Operate as an extension of executive leadership, ensuring continuity across all entities.
- Anticipate needs, identify gaps, and recommend process or resource improvements.
- Model calm, organized, and assertive communication under pressure.
- Lead with discretion, judgment, and a service-oriented mindset.
Required Experience- 5+ years supporting a senior executive or founder in a strategic EA, Chief of Staff, or operations role.
- Proven success managing cross-functional projects in a high-growth or multi-entity business.
- Experience in professional services (finance, tax, or consulting) preferred.
- Strong written and verbal communication skills.
- Exceptional organizational and follow-up discipline.
