Office Administrator/ Coordinator
The primary duties of the Coordinator, Martin Travel Support and Administration are to:
- Maintain and operate front desk reception area, greet clients, answer phones, incoming and outgoing mail and communications, vendor appointments, and office equipment.
- Answer and properly distribute all incoming calls. Retrieve and forward messages from general voice mail.
- Reconcile and deposit client checks and vendor commission payment.
- Process client credit card payments on bank machine.
- Schedule vendor meetings. Keep an updated calendar of scheduled appointments and conference room schedules.
- Responsible for maintaining the marketing database and providing marketing support to leisure frontline sales agents.
- Support implementation and tracking of Virtuoso advertising and marketing campaigns including direct mail, digital, e-marketing, and social media.
- Organize and assist facilitation of marketing events such as bridal shows, vendor shows, and client events including negotiating event space and Banquet Event Order (BEO).
- Support agents with invoicing, itinerary management preparation, and document distribution.
- Assist agents with research, sales materials, and/or client proposals (i.e., PowerPoint presentations).
- Organize and maintain brochures, research material, and office supplies.
- Maintain inventory of office supplies and order as necessary.
- Perform other duties and projects as assigned.
- High school degree or equivalent required.
- Minimum 2 years of customer service, sales, or office experience required.
Skills And Abilities
- Strong organizational skills and a propensity to learn new technology applications.
- Effective oral and written communication and interpersonal skills.
- Ability to prioritize tasks with a focus on attention to detail.
- Proficient using the Internet and Windows based applications, and competent keyboarding skills to accurately and efficiently complete daily work assignments.
- TRAMS/Clientbase knowledge a plus.
The starting base compensation for this position is $18.48 to $28.74 hourly.
The base pay range shown is a guideline for compensation and ultimate salary offered will be based on factors such as applicant experience and geographic location.
