Coordinator Of Special Projects

Under the direction of the Superintendent and/or designee, the Coordinator of Special Projects provides leadership and administrative support for division-wide initiatives, strategic priorities, and special assignments. The Coordinator manages projects from development through implementation, conducts research, prepares reports and presentations, coordinates cross-departmental initiatives, and supports executive leadership in achieving organizational goals. This position serves as a liaison between departments, community partners, and external agencies while ensuring projects are completed efficiently, professionally, and in alignment with School Board priorities and division goals.

The Coordinator performs both routine and complex administrative duties requiring independent judgment, exceptional organizational skills, strong communication abilities, and the ability to maintain strict confidentiality. Performs related work as assigned.

Project Management And Strategic Initiatives
  • Coordinates and manages division-wide special projects from planning through implementation.
  • Develops project timelines, monitors progress, and ensures completion of project objectives.
  • Conducts research and analyzes best practices to support strategic decision-making.
  • Assists with implementation of School Board and Superintendent initiatives.
  • Coordinates cross-functional teams to ensure successful completion of assigned projects.
  • Identifies operational improvements and recommends solutions to increase organizational effectiveness.
  • Assists with strategic planning, continuous improvement efforts, and organizational initiatives.
Administrative Leadership
  • Independently prepares correspondence, reports, presentations, proposals, memoranda, and executive summaries.
  • Coordinates meetings, workshops, advisory committees, and leadership events.
  • Develops meeting agendas, records minutes, and monitors follow-up activities.
  • Maintains confidential project files and official documentation.
  • Serves as a liaison between division leadership, schools, departments, governmental agencies, and community organizations.
  • Assists with planning and coordination of division-wide events and special programs.
Research, Data Analysis, And Reporting
  • Collects, analyzes, and interprets data to support division initiatives and executive decision-making.
  • Prepares comprehensive reports, dashboards, and presentations for leadership and the School Board.
  • Researches educational trends, legislation, grant opportunities, and emerging best practices.
  • Assists with policy review, procedural development, and implementation of organizational initiatives.
  • Monitors project outcomes and prepares evaluation reports measuring effectiveness.
Program Coordination
  • Provides organizational and operational support for instructional and operational initiatives as assigned.
  • Coordinates special events, recognition programs, community partnerships, and stakeholder engagement activities.
  • Assists departments with project implementation and organizational planning.
  • Supports grant development, implementation, compliance, and reporting requirements as assigned.
  • Collaborates with internal and external stakeholders to achieve project goals.
Technology And Systems Support
  • Maintains project tracking systems and organizational databases.
  • Develops reports utilizing Microsoft Office, Google Workspace, and other software platforms.
  • Coordinates electronic records management for assigned projects.
  • Assists with implementation of technology solutions supporting organizational initiatives.

  • Ability to lift up to 20 pounds and perform duties requiring standing, walking, bending, and sitting for extended periods.
Minimum Qualifications
  • Master's degree in Education, Educational Leadership, Public Administration, Business Administration, or a closely related field required.
  • Minimum of three (5) years of progressively responsible administrative or leadership experience, preferably within a public-school or governmental setting.
  • Virginia Teaching License with Admin & Supervision endorsement preferred.
