The Crew Coordinator is the designated contact for any crew related matters for the assigned yachts. The goal is to provide suitable qualified crew for the assigned vessels as required by the Company and in accordance with STCW
95 requirements.
Work as a member of the Yacht Management Team, using Company procedures and best Yacht Management practices in close cooperation with the Captains, Manager Yacht Services, Yacht Administrators and Technical Superintendents.
KeyDuties & Responsibilities (not limited to)
- Identify, interview and recommend crew members to the owner / captain, using where possible “The Crew Network”.
- perform background, reference, security checks and/or drug and alcohol testing on prospective crew members.
- Provide each crew member with a contract of employment - Seafarer Employment Agreement (SEA). Ensure that each crew member has the correct qualifications and ensure all crew have passed a medical fitness examination with an approved doctor before employment.
- Booking crew flights or other transportation.
- Make wage calculations and arrange for payment of salaries (in cooperation with the dedicated Yacht Administrator). Where applicable withhold, account for and process the payment of social security contributions and United States federal payroll taxes.
- Handling of any crew related P&I Claim or other crew related insurance claim and as appropriate supply insurers with crew information and contracts of employment.
- Receive and file crew lists, check that the yacht is manned according to Safe Manning Document, receive and file crew certificates, documents and passenger lists.
- Check that crew certificates and documents remain valid.
- Be part of the Emergency Response Team
- Verify periodically the status of records in MMV (Manage My Vessel) for the assigned yachts.
- Assist when requested with securing appropriate health / Personal Accident insurance for crew members.
- Identify and recommend crew safety weaknesses and assist master with training proposals (in liaise with the DPA).
- Assist the Technical Superintendents and Yacht Administrators in providing Logistical Support.
- Advise and assist the Master in obtaining endorsements and required crew certification.
- Handling and forwarding of crew mail
- Assist when requested with any proposals for new business.
- Will undertake any additional tasks reasonably assigned by the Manager Yacht Services
- Expected to travel at any time to visit an owner, his representative, a yacht or any other person connected to a yacht.
- Work with the Technical Superintendents and Yacht Administrators on the induction of new Captain’s and new yachts into the fleet.
SKILLS:
- Organized and disciplined, efficient in keeping strict control on date validity and deadlines in view of all crewing matters.
- Good communication skills, allowing an efficient contact with the Captains of the managed yachts
- Maritime Labor Convention 2006 (MLC) knowledge is essential, general knowledge of maritime regulations, International Safety Management Code, and STCW 95 (as amended in 2010) crew training and certification requirements are a plus.
- Fluency in English is a requirement. The ability to speak a second language is a plus.
- Computer literate; proficient with MS Word, Excel and Outlook.
- Two years of experience in crew administration, preferably in the maritime or yachting sector.
- Bachelor’s degree in administration, or a related field preferred.
- Relevant work experience may be substituted for educational experience.
- Work is conducted most often indoors in an air conditioned, illuminated office environment and periodically outdoors inspecting boats, meeting with yacht captains, and crew aboard vessels, at ports, and on floating barges.
- Local, national and international travel is occasionally required ranging from day to week-long trips.
Ability and willingness to travel internationally to attend boat shows, visit yacht owners, captains and yachts and attend other yacht industry or company events as necessary. - Utilization of standard office equipment is used in the working environment.
- Motor skills and senses needed to carry out duties include talking, listening, typing, writing, visual inspection of documents and spaces.
- Light lifting, pushing, walking, climbing ladders and stairs on boats and climbing into small spaces.
