SummaryThe Administrative Assistant III schedules, coordinates, and tracks data sets and office functions related to medical equipment maintenance.
Responsibilities- Lead onsite administrative team and supervise day‑to‑day operations.
- Track employee accountability and produce required reports.
- Develop project plans, reports, and systems for review and approval by M3D leadership.
- Assist with the interview process for administrative vacancies.
- Provide office automation expertise, create records, compile reports, and analyze data.
- Support M3D leadership in arranging travel, managing credit cards/expenditures, and preparing travel authorization letters.
- Gather data and perform analysis to coordinate project impact with employees and managers.
- Schedule internal and external meetings, reserve conference space, and coordinate with attendees.
- Maintain executive calendars.
- Enter, open, close, and update work order information in automated systems.
- Provide general office administration support and prepare general office correspondence and personnel briefs.
- Perform additional duties assigned by M3D leadership as needed.
- Work independently while interacting directly and effectively with M3D leadership.
- Track tasks, events, and issues, including personnel status.
- Excellent communication, business analytical, and problem‑solving skills.
- Effective customer service skills.
- Work cross‑functionally internally and/or externally.
- Strong written and verbal English language skills.
- Proficiency in using the internet.
- Math ability: add, subtract, multiply, and divide using whole numbers, common fractions, and decimals; compute rate, ratio, and percent; interpret bar graphs.
- Problem‑solving skills for practical problems with limited standardization.
- Interpret instructions in written, oral, diagram, or schedule form.
- Computer skills: use Microsoft Office Suite (Word, Excel).
- Five (5) or more years of related experience.
- Experience with DMLSS and TEWLS database systems.
- Must obtain and maintain a NACI clearance.
- Accept travel as required (estimated 15%).
- Experience with the Department of the Army and Department of Defense preferred.
Salary range: $54,000.00 to $59,000.00 annually.
