under the fair labor and standards act this position is non-exempt from overtime. Actual salary placement will be in accordance with the salary procedures of the frederick county public school system. Please see linked salary scale for the full range.
roleunder the direction of the principal, this position manages the main office of a school and renders administrative assistance to the principal and other members of the school staff. This position requires a high level of secretarial skill and experience.
essential functions- uses experience and judgment to resolve problems and prioritize work on behalf of the school.
- maintains proficiency in the use of technology to meet administrative needs.
- maintains consistent and reliable attendance.
- manages an office under the direction of an administrator; trains and supervises staff.
- maintains financial records/reports, payroll records, school funds, and student activity funds.
- composes routine correspondence.
- orders and receives supplies and checks invoices.
- prepares, types, and proofreads letters, memos, reports and presentations, observations and evaluations.
- effectively uses the automated purchasing system, student information system, and substitute calling system.
- maintains filing systems, attendance reports, logs, and trip records.
- answers telephone, takes messages, greets visitors, makes appointments, and gives information.
- distributes mail and supplies.
- prepares materials for meetings, conferences, and workshops.
- operates various office machines and trains others.
- assists in scheduling use of facilities.
- maintains property accountability.
- assists with student registration.
- assists with procuring substitutes.
- performs other duties as assigned by the principal.
- high school diploma or equivalent (g.e.d.).
- five (5) years of secretarial experience.
- demonstrated proficiency in the use of office technology to meet administrative needs.
- demonstrated ability to effectively use word processing, database, spreadsheet, and email software.
- demonstrated ability to maintain confidentiality.
- demonstrated ability to communicate clearly and concisely in oral and written form.
- demonstrated ability to work under pressure and maintain flexibility.
- demonstrated strong human relations skills.
- demonstrated proficiency in business math.
- capable of performing the essential functions of the position with or without reasonable accommodations.
- regular and predictable attendance.
- working knowledge of the general organization and functions of the major units of fcps.
- demonstrated net keyboard rate of 55 words per minute, demonstrated proofreading proficiency, and creation of a table in a word processing program.
- demonstrated ability to prepare bank deposits, and post debits and credits to the financial records.
- demonstrated ability to manage the office, train, and supervise staff.
- demonstrated ability to anticipate work demands and to be pro‑active.
- demonstrated evidence of continuous professional growth.
- demonstrated strong human relations skills, with adults and students, which have created a positive and inviting work environment.
- demonstrated ability to work independently with a minimum of supervision.
- familiarity with the fcps policies, goals and programs.
