POSITION SUMMARY

Provides comprehensive administrative and clerical support to the Executive Directors of Schools, including managing complex calendars, coordinating meetings and events, preparing agendas and minutes, and developing professional correspondence and reports. Serves as a primary point of contact for inquiries, resolving issues within scope and ensuring appropriate follow-up. Maintains accurate records and electronic filing systems, supports website updates, and utilizes system applications to generate reports.

Coordinates logistical details for meetings and travel, ensuring efficient and effective office operations.
EDUCATION, CERTIFICATION AND EXPERIENCE
  • High School diploma or General Education Development (GED) program certificate or equivalency.
  • Business education training with secretarial experience preferred.

  • Must be proficient in a Microsoft 365 environment, including Word, Excel, PowerPoint, One Note and Teams.

  • ESSENTIAL JOB FUNCTIONS, RESPONSIBILITIES, AND DUTIES
  • Serves as the front line for the Executive Directors of Schools using exceptional organizational skills to manage multiple calendars based on competing priorities.
  • Resolves complaints within the scope of information and authority and refer to others, as appropriate.
  • Assists in developing agendas, organizing supporting documents, and taking minutes for meetings.
  • Creates, formats, produces and edits correspondence and other written materials for internal use of the school system.
  • Initiates, proofs, and finalizes correspondence on a variety of matters requiring an in-depth understanding of educational programs, as well as school system policies and procedures.
  • Uses system applications to generate applicable reports needed.
  • Operates office equipment, including copiers, computers and scanners, and organizes and maintains electronic document filing systems.
  • Updates the administrative webpage as needed ensuring accessibility and accurate content.
  • Researches and coordinates various activities and details associated with meetings and business trips.
  • Provides administrative and clerical support for the Executive Directors of Schools.
  • Supports in the coordination of system meetings and events
