Essential Job Functions

The Administrative Office Specialist is the direct assistant to the Administrative Clerk and indirect assistant to the Judges. The role ensures efficient court operations through coordination of meetings, filing, correspondence, mail distribution, office supplies management, and supply procurement.

Responsibilities
  • Serve as the direct assistant to the Administrative Clerk and point‑of‑contact for all departments.
  • Handle maintenance issues, personnel situations, equipment problems, and other operational matters.
  • Maintain accurate and efficient files for court and personnel management.
  • Collaborate with Circuit Court and local/state agencies to resolve issues.
  • Compile data, check accuracy, and prepare reports; maintain forms, correspondence, and memoranda.
  • Manage inclement weather notifications, emergency contact lists, COOP and exit plans.
  • Initiate, prepare, and place purchase orders; reconcile invoices; manage Petty Cash and Corporate Purchase Card procedures.
  • Act as Human Resources liaison, reviewing new‑hire paperwork, maintaining employee files, tracking FMLA and ADA designations, and assisting with benefits enrollment.
  • Assist employees with timesheets and payroll inquiries; prepare overtime reports.
  • Maintain office equipment, schedule repairs, coordinate upgrades, inventory assets, and manage barcode records.
  • Create work orders for building/maintenance issues.
  • Serve as ADA coordinator, Fire Warden assistant, Injured Workers Insurance Fund representative, and State Employees Credit Union representative.
  • Assist with backlog filings for surrounding counties.
Minimum Qualifications
  • High School diploma or GED.
  • Three years of secretarial, clerical, or administrative work experience involving personal computer use and word processing.
Knowledge, Skills, and Abilities
  • Basic English and arithmetic, including spelling, punctuation, and basic math.
  • General office practices, equipment, and judicial policies.
  • Managing priorities, multitasking, time management, and attention to detail.
  • Typing and use of standard office equipment.
  • Customer service, communication, reading, proofreading, and editing.
  • Interpersonal communication and relations.
Physical Requirements

Primarily sedentary work; may lift up to 10 lbs occasionally.
