Under the general supervision of the Judicial Support Services Manager, the incumbent provides rotational administrative support to all Circuit Court Judges in the absence of their Executive Administrative Aides. The incumbent is responsible for ensuring operations run efficiently in the judicial office and completing daily administrative tasks.
The incumbent must perform with high independence and discretion and possess excellent oral and written communication, interpersonal, and organizational skills.
This is a highly confidential and fast-paced role.
Duties include, but are not limited to, the following:- Answer and screen telephone calls from the public and court-related agencies.
- Utilize the electronic filing system (Odyssey-MDEC) to access case files as requested by the Judge.
- Draft various correspondence, including, but not limited to, letters, memorandums, recommendations, orders, and narrative reports.
- Proofread documents, orders, memorandums, and other correspondence.
- Maintain accurate records of correspondence and statistical data.
- Engage in professional interactions with Judges, Magistrates, attorneys, and the public.
- Work with the Office of Calendar Management to schedule cases.
- Maintain the Judge’s appointment calendar.
- Perform other duties as assigned.
An associate degree in Business Administration and two (2) years of advanced secretarial/administrative experience, which involved working with the public office management and operational details, and some supervisory responsibilities. Any equivalent combination of relevant training, education, and experience will also be accepted. Applicants must be proficient in typing and, where required, shorthand.
Eligibility to Work- Knowledge of modern office management principles and practices.
- Knowledge of department operating policies/procedures/standards and the ability to apply them as necessary.
- Ability to perform highly responsible administrative/secretarial work under general supervision.
- Ability to coordinate activities, special projects, and office functions.
- Ability to plan, assign, and review the work of subordinate clerical staff.
- Ability to take difficult dictation.
- Ability to comprehend technical and complex discussions and interpret decisions and actions resulting from these discussions.
- Ability to take initiative and exercise independent judgment.
