Office Administrator/ Coordinator, Education Administration
Under the direction of the Senior Associate Director of Admission, the full‑time Administrative Assistant and Visit Coordinator provides administrative support to the Office of Undergraduate Admission and the Vice President for Enrollment Management. The role also supervises daily campus visits for prospective undergraduate students (first‑year and transfer) and their families, as well as special interest groups.
Essential Duties and Responsibilities Administrative Duties (40%)- Answer the main admission phone line, providing appropriate information to customers, taking accurate messages, and transferring calls.
- Manage the admission and visit email inboxes, responding promptly and accurately, and forwarding messages as necessary.
- Participate in regular admission and enrollment division meetings and provide support to department colleagues.
- Assist in distributing mail and paperwork for the Enrollment Management division.
- Manage inventory of office supplies and marketing materials.
- Provide administrative support to the Vice President for Enrollment Management, including recording minutes, coordinating distribution of documents for committee meetings, scheduling support, coordinating logistics for hiring, and participating in trainings and professional development activities.
- Coordinate and provide logistical support for all campus visits, including tours, interviews, information sessions, and group visits.
- Schedule visits and set up confirmation communications.
- Greet visitors and provide direction to student tour guides.
- Work with campus partners to fulfill special requests (e.g., meeting a coach or faculty member).
- Leverage the CRM system to create schedules, communications, assessments, and reports related to campus visits.
- Oversee the admission reception area, ensuring it is clean, stocked, and always prepared for visitors.
- Assist the Senior Associate Director of Admission with event preparation and on‑event days as needed.

Education and ExperienceBachelor’s degree preferred; some college experience or associate’s degree required. Minimum two years of experience in college admission, hospitality, or customer service, or an equivalent combination of education and experience.

Preferred Skills and CharacteristicsTechnology Skills
- Proficient in MS Office tools (Word, Excel, PowerPoint, Teams, One Drive) and e‑mail and Internet; quick learner of new applications and systems.
Language Skills
- Strong oral and written communication skills; ability to provide information and respond positively to questions from external and internal customers; ability to write routine reports. Fluency in Spanish preferred.
Mathematical Skills
- Proficient with statistical and financial concepts; able to apply concepts to tracking, projections, goal setting, and interpreting reports; able to draw conclusions and make cost‑effective decisions.
Reasoning Ability
- Ability to solve practical problems, interpret instructions, work independently and in groups, and apply logic appropriately.
Requires standing, walking, using hands, reaching, and occasional lifting up to twenty‑five pounds. Close vision required.
Work EnvironmentModerate noise level with interaction with staff, students, and the public; use of telephones and office equipment.
CompensationNon‑exempt position with an annual starting wage range of $34,000 – $38,000. Additional compensation may be provided for overtime. Hood College offers medical, dental, vision, retirement, paid time off, and tuition benefits.
