The American Nurses Enterprise (ANE) is seeking to hire a Program Management Support Staff Specialist.

The Program Management Support Staff Specialist supports federal grant programs by helping achieve established data collection goals and coordinating the program’s mentorship model through all phases, including the ongoing recruitment of mentors. This position primarily reviews and tracks documentation submitted by fellows and prepares stipend payment files for finance and management review. The role also enters annual goals, tracks educational offerings, submits quarterly data in the Substance Abuse and Mental Health Services Administration (SAMHSA) Performance Accountability and Reporting System (SPARS), and ensures expenses charged to the Minority Fellowship Program (MFP) Center credit card are reconciled in the American Nurses Enterprise (ANE) online system with the appropriate invoice and receipt within five business days.

In addition, the position provides administrative, program, and customer support and manages calendar coordination for program meetings and logistics.

What You Will Do:

  • Supports the MFP with gathering information from existing files requested during the annual MFP audit and supports professional licensure review process with leadership.
  • Prepares students’ stipend payments, ensures accuracy of the fellows submitted documentation in a timely manner and tracks for finance review and the project director’s review and approval. Ensures expenses charged to the MFP Center Card are reconciled with the appropriate invoice and receipt within five days.
  • Enters annual goals, tracks educational offerings, and submits quarterly data in the SAMHSA Performance Accountability and Reporting System (SPARS), a web-based data entry system used to report timely and accurate training data to SAMHSA. Assist in other duties as assigned by the project director to support the grant data management functions.
  • Monitor and manage daily the programs mailbox, address, and follow through to appropriate staff person as needed; mitigate administrative non-fellow and fellow inquiries regarding questions about the MFP to include but not limited to financial inquiries, change in banking information, change of address, change in full-time program status, general program questions etc.
  • Support special program projects as assigned
  • The MFP Mentorship model is a year-round hands‑on key component of the fellowship program with accountability in the continued growth of increasing the MFP mentorship base as well as the matching of fellows with mentors through an established program model.
  • Directly supports and tracks multiple administrative components in the annual preparation/planning of the MFP’s annual Intensive Training Institute (ITI) Conference.
