Office Services Specialist – On Call (Temporary)
Location:
Annapolis Junction, Maryland – In-person. The position is primarily based at the main client site with additional assignments within a 25‑mile radius.
Reports to:
Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.
Field Support Specialists provide critical back‑fill coverage within their assigned region, ensuring seamless customer support and compliance with service level agreements.
Mail Services- Deliver world‑class service to all clients in all forms of communication.
- Process inbound and outbound mail and packages, sorting by recipient/department using manual or electronic chain‑of‑custody procedures.
- Handle shipping and receiving duties, including packaging and sealing shipments.
- Assist with copy/print production and monitor equipment for satisfactory functionality.
- Provide binding services (GBC, Velo, Coil, Wire).
- Operate multifunction devices, replenishing toner and paper.
- Manage scanning and imaging of documents.
- Maintain the Office Services Center in a neat, orderly manner.
- Service and replenish pantry, conference, kitchen, and meeting areas.
- Perform general office maintenance, repair duties, and safety tests.
- Manage breakroom organization and cleaning.
- Set up meeting and conference rooms.
- Monitor office supplies, inventory, and order accordingly.
- Provide reception or concierge coverage as needed.
- Welcome guests, catalog information, and orient new clients.
- Represent the company positively in all interactions (in person, phone, and email).
- Oversee lobby concierge quality with a proactive, courteous attitude.
- Maintain professional relationships with customers and teams.
- Coordinate guest access with Building Security.
- Route global calls, log visitors, and provide light administrative support.
- Utilize strong verbal and written communication, MS Office Suite, and MFD equipment.
- Demonstrate the ability to handle multiple simultaneous tasks, work independently, and take initiative.
- High School Diploma (or equivalent) required.
- Minimum of 6 months of prior work experience preferred.
- Ability to work assigned hours as determined by manager.
- Excellent organizational, time‑management, and problem‑solving skills.
- Superb written and verbal communication.
- Current or learnable proficiency with computer‑based systems.
- Professional appearance and adherence to company policies.
Approximately 50% of the time, the role requires:
- Fine or gross motor skills, including lifting up to 25 lbs individually and up to 50 lbs with assistance.
- The ability to walk, bend, kneel, stand, or sit for extended periods.
- Manual dexterity for operating office machinery and equipment.
- Vision abilities for close and distance vision, focus adjustment, and color discrimination (MFP color calibration).
- Travel within the assigned region is required; reliable transportation is mandatory.
- Assignments may involve moving between SPS sites as business needs dictate.
- Primary travel distance is within the FSS’s assigned region.
