Position Summary

The Retention Specialist (Bilingual English/Spanish) ensures a seamless client experience by combining the functions of intake, quoting, and retainer management. This role is dedicated to building strong client relationships, providing clear and accurate service information, and ensuring that retainer agreements are executed with professionalism, compliance, and efficiency. By fostering trust and delivering excellent communication, the Retention Specialist helps streamline operations while supporting clients in making informed retention decisions.

Key Responsibilities
  • Act as the first point of contact for potential clients via phone, email, and online inquiries.
  • Schedule consultations and manage attorney availability using firm calendar systems.
  • Maintain accurate client records in the firm’s case management system.
  • Greet clients virtually or in person and prepare them for initial consultations.
  • Follow up with leads to monitor engagement and readiness to retain services.
Essential Criteria
  • High school diploma or equivalent required; experience in client services, intake, sales, customer service, or a related field preferred.
  • Fluent verbal and written communication skills in both English and Spanish (required).
  • Strong interpersonal skills with the ability to build trust and rapport with diverse clients.
  • Excellent organizational skills and the ability to manage multiple priorities simultaneously.
  • Strong attention to detail and commitment to accuracy.
  • Proficiency with CRM systems, case management software, Microsoft Office, and digital communication platforms.
  • Ability to explain complex information clearly and professionally.
  • Strong problem-solving and decision‑making skills.
  • Ability to work independently while collaborating effectively within a team environment.
