NASA Federal Credit Union is seeking a Payroll Administrator to manage a variety of payroll-related duties, including the processing of wages, bonuses, and allowances, as well as general ledger postings and reconciliations for NASA Federal Credit Union and its subsidiaries, ensuring accuracy and compliance.
The Payroll Administrator will assist with preparatory activities prior to audits or regulatory examinations and may serve as a resource during audits or examinations. This position will also manage timecards for NASA Federal Credit Union and CU Title, while demonstrating professionalism, discretion, and strong ethical standards when handling sensitive payroll information.
Additionally, the role will collaborate with Human Resources and Finance to develop standardized, scalable processes that promote accuracy and compliance. The Payroll Administrator will serve as a Workforce Manager subject matter expert, providing support for staff inquiries, system releases, enhancements, audits, and stakeholder needs.
This position may require you to commute to our Corporate Office in Upper Marlboro, MD periodically.
Essential Duties and Responsibilities- Remains cognizant of and adheres to Credit Union policies and procedures, and regulations pertaining to the Bank Secrecy Act.
- Administers payroll processing for NASA Federal and its subsidiaries.
- Administers ADP Workforce Manager Timekeeping transactions and updates, ensuring accuracy and seamless integration for processing.
- Reviews all FMLA and State Leave certification cases against the timecards and adjusts as needed. Coordinates the deduction of insurance benefits (when applicable).
- Manages all employee contribution changes and loan payments within ADP application.
- Completes all garnishment processing and ensures compliance with all associated requirements. Completes VOIDS, Adjustments, and Manual Checks.
- Posts accurate journal entries to the general ledger.
- Retains proper support for all payroll processing including payroll changes and adjustments for the required time period.
- Supports year‑end processing, including W‑2 reconciliation, accrual management, audits and reporting.
- Assists with the preparatory work prior to internal audits or regulatory examinations of the Credit Union and may act as a resource during the audit/examination.
- Creates and maintains procedures.
- Manages general ledger reconciliations across multiple accounts, ensuring accuracy and timely resolution of discrepancies.
- Assists the Financial Management team with completing the month‑end close.
- Assists with special accounting assignments as needed.
- Administers ongoing Exception Management Review of timecards; including communicating with all levels of staff to clarify exceptions and adjust accordingly.
- Completes complex payroll adjustments. Processes Federal and State tax and social security with holdings, and all other deductions, insurance, benefits, retirement, 401(k) contributions/company match/loans and Gainsharing.
- Completes monthly management reporting.
- Partners with HR and Finance on multistate compliance regulations and practices.
- Prepares monthly payroll accruals for posting to the general ledger.
- Collaborates with ADP on Payroll configurations, integrations, and testing; while incorporating automation opportunities and efficiencies.
- Two to three years of relevant experience and/or education.
- Knowledge of commonly used Accounting and Payroll concepts, practices, and procedures.
- Capable of ensuring the computing and deduction with holdings are completed accurately and in accordance with regulatory guidelines.
- Works under immediate supervision.
- Three to five years of payroll experience.
- Associate’s degree in Accounting preferred.
- FPC certification preferred.
- Familiar with advanced payroll concepts of taxable vs. non‑taxable compensation and benefits and tax reporting requirements.
- Works under general supervision.
