Main Purpose of JobThe main purpose is to assist in planning, development, and management of the budget of the Division of Occupational and Professional Licensing (O&P) and its twenty‑five constituent sub‑programs. Assist in the development of the indirect cost allocation plan for the division and oversee the accuracy of all data elements of the plan, working regularly with the Office of Administration (OOA) with respect to the plan.
PositionDuties
- Budget preparation by keeping track of personal changes and other expenses; work with OOA in the development of any division related budget amendments; assist in the development and management of the indirect cost allocation plan for the spreading of divisional and departmental expenses among the individual regulatory sub‑programs which comprise the division.
- Monitor monthly expenditures activity for accuracy regarding types of expenditures and funding sources; prepare financial management projections, encumbrances and other relevant factors; prepare the Monthly and Fiscal Year‑to‑Date reports of OAG hours. The Fiscal Year‑to‑Date and the Monthly reports summarize legal hours broken down by the board and staff for the current and previous fiscal year.
- Responsible for the execution of credit card chargebacks through the Pay Pal System; record credit card chargeback transactions in AS400 in the E‑licensing Revenue Menu option; notify the Executive Directors when credit card chargeback transactions cannot be processed and provide direction to remedy the situation; review the SSN.
- Review requisitions in FIMS Purchasing; compare the requested dollar amount to the appropriated budget amount to ensure funding is available to cover the expenditure.
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years of administrative staff or professional work.
Notes- Candidates may substitute 30 college credit hours from an accredited college or university for each year up to four years of the required experience.
- Candidates may substitute the possession of a Bachelor’s degree from an accredited college or university for the required experience.
- Candidates may substitute the possession of a Master’s degree from an accredited college or university for the required experience.
- Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work related to the administration of rules, regulations, policy, procedures and processes, or overseeing or coordinating unit operations or functioning as a staff assistant to a higher ranking commissioned officer on a year‑for‑year basis for the required experience.
Preferred Qualifications
Preference will be given to applicants who possess the following preferred qualifications and include clear and specific information on your application regarding your qualifications.
- Experience in preparing or overseeing budgets, directing and coordinating fiscal activities, reviewing and responding to audit requests, and managing employees.
- Experience managing a government program or other organizational programs.
- Experience developing, implementing, and evaluating policies, plans, and programs—including accounting, budgeting, and auditing experience.
