Job Description & How to Apply Below

McLane Ford is looking for a dependable, organized Administrative & Operations Assistant to help with daily office tasks, paperwork, follow-up, and dealership support.

This position is a good fit for someone who is detail-oriented, trustworthy, willing to learn, and comfortable being trained step by step. The role will begin with basic administrative work and may grow over time as the employee learns more about the dealership, our systems, and our internal processes.

We are looking for someone who can learn how to do things the correct way from the beginning, take good notes, ask questions, and become a reliable support person for the management team.

This is a good opportunity for someone who is looking for a long-term position where they can learn, grow, and become a valuable part of the dealership. We are willing to train the right person, but we are looking for someone who wants to build real knowledge over time and take pride in doing things the right way.

This is an entry administrative role with real growth potential, but pay increases will be tied to proven responsibility, accuracy, and trust.

Main Responsibilities
  • Help with filing, scanning, copying, mailing, and organizing paperwork.
  • Assist with invoices, statements, vendor records, and basic office/accounting support.
  • Help keep checklists, logs, and tracking documents updated.
  • Follow up on missing paperwork, pending items, and assigned tasks.
  • Assist with customer, vendor, and employee communication when needed.
  • Help organize dealership documents such as repair orders, deal paperwork, employee files, and vendor records.
  • Support management with administrative projects and daily follow-up.
  • Learn dealership systems, Ford-related tasks, and internal processes over time.
  • Maintain confidentiality of customer, employee, and business information.
What We Are Looking For
  • Dependable and punctual.
  • Organized and detail-oriented.
  • Trustworthy and discreet.
  • Willing to learn and be trained.
  • Comfortable asking questions instead of guessing.
  • Able to follow instructions and written processes.
  • Good communication skills.
  • Comfortable using email, computers, scanners, printers, and basic office programs.
  • Able to work with different departments and personalities.
  • Interested in growing into more responsibility over time.
Experience

Prior office, administrative, bookkeeping, dealership, or customer service experience is helpful, but not required.

The most important qualities are reliability, accuracy, confidentiality, common sense, and willingness to learn.

Growth Potential

This position may grow over time as the employee learns more about the dealership, our systems, our paperwork, and our daily operations. Additional responsibilities will be added gradually based on accuracy, follow-through, judgment, and trust.
