The Administrative Assistant of Faith Formation supports the Director of Faith Formation and the Youth Ministers in administrating and building the parish catechetical program. This position provides leadership to assist in building programs that will nurture a solid foundation for adult spirituality, Christian living, ministry, and outreach for the parish community.
Position Responsibilities- Follow all guidelines set out in the archdiocesan policy for ministering to minors.
- Maintain class rosters for K‑12th grade religious education and update binders as necessary.
- Update parish software each week with the religious education attendance records for that Sunday and monitor sacrament preparation attendance.
- Gather information for sacrament records.
- Assist DFF with planning of First Holy Communion and Confirmation events.
- Maintain children’s book box in Main Church and replenish books as needed, ensuring they are religious books.
- Assist with registration for religious education classes.
- Collaborate with the DFF and other staff to start up new ministries.
- Conduct operations of this ministry within the approved budget; exceptions to the budget must be approved by the DFF and Pastor.
- Write letters for religious education parents and translate letters into Spanish.
- Prepare materials for family catechesis in religious education.
- Assist with planning the children’s Christmas pageant.
- Help the youth ministers oversee St. Mary’s high school youth group and Edge programs.
- Maintain and monitor VIRTUS training platform for volunteers and employees.
- Attend all parish staff meetings and other meetings as required.
- Other duties as assigned.
- Must be a Catholic in good standing.
- Ability to work well and communicate with youth of all ages, their parents, adults and volunteers.
- Bilingual (English and Spanish) verbal and written preferred.
- High school diploma or equivalent.
- One year of education in theology is preferred.
- At least 1‑2 years previous experience in youth ministry, faith formation or equivalent.
- Reliable transportation.
- Valid driver’s license.
- Valid vehicle insurance.
- Detail oriented, organized, self‑motivated, works well independently and on a team.
- Can plan, organize and work efficiently.
- Good written and verbal skills.
- Prior experience with MS Office (Word, Excel, PowerPoint).
