Standard Work Hours :
Mon - Fri | 7:45 am - 4:00 pm | 36.25 hours per week (Summer Hours)

Salary Range:  $23.48- $27.26 per hour

YOUR FOCUS
Reporting to the Manager, Administration & Finance, the Payroll Clerk is responsible for all aspects related to the administration of CP&O's payroll including all facets of employee time keeping records. The payroll clerk exercises initiative, confidentiality and works to a high degree of accuracy, and is required to exercise independent judgment and interpretation of university policy and Union agreements.

Maintain accurate and up-to-date timekeeping records for all CP&O and Central Heating Plant (CHP) employees.

Reconcile hours paid against Megamation Direct Line (MPC) timecard records and approved leave entries in Colleague Self-Serve each pay period, ensuring employees are neither underpaid nor overpaid.

Investigate and resolve discrepancies and missing time records for each pay period.

Perform daily updates of employee timekeeping records and overtime tracking in the overtime and employee Reporting Access Database.

Ensure all updated employee time records, banked overtime balances, overtime worked and used records, and substitution pay records are accurately published to employees' SharePoint reporting pages on a timely basis.

Prepare and submit bi-weekly payroll for all CP&O timesheet employees in accordance with Colleague Self-Serve submission deadlines.

Process Late Time Entry sheets for payroll adjustments that fall outside the regular bi-weekly payroll cycle.

Ensure all Late Time Entry sheets are accurately prepared, properly authorized, and submitted to Payroll within required deadlines.

Process monthly substitution pay for all unionized employees in accordance with the applicable collective agreements.

Identify all instances in the pay period where an employee performed duties of a higher-rated classification.

Calculate the applicable pay differentials and ensures all substation pay entries are properly authorized and submitted for payroll processing within payroll deadlines.

Other duties as assigned by the Director or Manager.

WHAT YOU BRING

Business diploma.

Two to three years related experience.

An equivalent combination of experience and education will be considered.

Additional Strengths

Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and SharePoint.

Ability to quickly learn and effectively navigate university-specific software systems, and other applications required for payroll and timekeeping administration.

Comfort working across multiple systems simultaneously, with the ability to extract, cross-reference, and reconcile data from different platforms accurately and efficiently.
