North West Illinois Alliance of REALTORS® (NWIAR) is a 1100+ member-driven organization whose mission is “To be a Proactive Force for Real Estate”.We are seeking a self-motivated and organized part-time Administrator to oversee the daily operations and administrative functions of our real estate association. The ideal candidate will have a background in administration, excellent communication skills and customer service, and a strong ability to take initiative.
You will play a pivotal role in supporting our members, managing events, and ensuring smooth operations of our association.
1. Membership Management
- Handle member inquiries and payments in a friendly, helpful manner.
- Maintain accurate membership records and databases.
- Coordinate membership meetings and events.
- Manage correspondence, emails, and phone calls.
- Prepare minutes, reports, presentations, and Chapter Council meeting agendas.
- Assist with financial transactions and budget tracking for the Chapter Council.
- Plan and organize Chapter Council events, including meetings, seminars, and networking sessions.
- Coordinate logistics such as venue booking, catering, and attendee registration.
- Assist in marketing and promoting events to members.
- Approximately 6 early‑morning or evening events per year.
- Coordinate with the association's website and social media platforms.
- Draft and distribute newsletters, announcements, and promotional materials.
- Ensure timely communication with members regarding updates and initiatives.
- Assist the MLS Director with enforcement of MLS policies and procedures.
- Ensure compliance with MLS rules & regulations.
- Prepare minutes, agendas, reminders, etc. for MLS Committee Meetings.
- Become familiar with the functionality of the MLS so as to train members on its use or answer questions.
- Assist other staff, the CEO, Council Chair & Vice Chair as needed.
- Prepare materials for Council meetings and committee sessions.
- Coordinate schedules and registration of national and state conferences for Council leadership.
- Proven experience in administrative roles.
- Strong organizational skills with attention to detail and ability to multitask.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and membership management software.
- Ability to work independently as well as part of a team, with a proactive and problem‑solving attitude.
- Work schedule:
20 hours per week. - Hourly pay of $17.00-$18.00.
