Position: Transportation Clerk I

Transportation Administrative Coordinator

Location: Fremont, CA (Onsite)

Duration: Approximately 7.5 Months (Contract, extension possible)

Schedule:

  • Monday Friday
  • 8:00 AM 5:00 PM
  • Full-Time, 40 Hours/Week
Job Summary

Seeking a detail-oriented Transportation Administrative Coordinator to support a high-volume transportation operation. This role is responsible for payroll processing, timecard management, DOT compliance administration, driver documentation, reporting, and general clerical support for the transportation team.

Responsibilities
  • Process and organize driver paperwork, logs, manifests, and vehicle inspection documents
  • Review and manage timecards for 130+ drivers
  • Process payroll through ADP
  • Answer phones, route calls, and handle inquiries
  • Research and resolve driver and delivery-related issues
  • Maintain Driver Qualification files and required DOT documentation
  • Monitor driver license status, medical cards, violation records, and motor vehicle reports
  • Review driver logs and violations through onboard systems
  • Run daily operational and transportation reports
  • Monitor and process driver camera events for coaching and documentation
  • Create and manage purchase orders
  • Perform additional administrative and operational support duties as assigned
Required Skills
  • High school diploma or GED equivalent
  • Minimum 2 years of experience in a high-volume operations or administrative environment
  • Experience reviewing and managing large-volume employee timecards
  • Payroll processing experience using ADP
  • Knowledge of DOT regulations and CDL driver documentation requirements
  • Proficiency with Microsoft Outlook, Excel, and Word
  • Strong written and verbal communication skills
  • Excellent organizational and analytical skills
  • Ability to manage multiple priorities in a fast-paced environment
Preferred Skills
  • Transportation or logistics industry experience
  • Workforce scheduling experience
  • Experience with driver compliance and regulatory record management
Tools/Environment
  • ADP Payroll
  • Microsoft Outlook, Excel, and Word
  • Transportation management and driver monitoring systems
  • DOT compliance documentation and reporting
  • High-volume transportation operations environment
