Scheduler/ Business Office Manager Job Summary:
Are you a highly organized and detail-oriented professional seeking a challenging and rewarding career opportunity? Do you have experience in scheduling and business office management? Bethesda Care Center is seeking a Scheduler/ Business Office Manager to join our team in Fremont, OH. In this critical role, you will be responsible for managing the daily and weekly staffing schedules for nursing and support staff, ensuring adequate coverage and continuity of care in our long-term care setting.
Responsibilities:- Ensure financial documentation is obtained for each resident to ensure timely and accurate billing
- Ensure any state-specific requirements for Medicaid payments are completed in a timely manner
- Admission agreement - ensure resident/Guardian review, initial, and sign the admission agreement upon admission
- Ensure Medicaid application process is completed
- Collect private pay and patient liabilities for current and discharged residents
- Meeting with residents/families to discuss their financial obligations
- Coordinate, review, and analyze documentation and data entry supporting Medicare, Medicaid, and commercial payer requirements to ensure accurate and timely billing
- Maintain tracking tools to ensure that all necessary information is secured for timely and accurate payment
- Maintain and distribute funds of personal needs accounts
- Attend UR meetings to track resident payor changes
- Ensure that all residents in the building have a payer source (as well as secondary payor as needed) and coordinate discharge plan with social services
- Reverify each resident's payor source at the beginning of each month
- Manage, track, and document all facility petty cash
- Update all payor sources as they change
- Perform other duties as assigned by Administration
- High school diploma or equivalent required; associate degree or healthcare certification preferred
- Previous scheduling or staffing experience in a long-term care or healthcare facility strongly preferred
- Proficiency with scheduling software and Microsoft Office Suite (Excel, Outlook)
- Strong organizational, time management, and problem-solving skills
- Ability to work independently and respond quickly to scheduling changes or emergencies
- Excellent interpersonal and communication skills
