Nursing Scheduler/ Business Office Assistant
This multi-role position provides administrative support across scheduling and business office functions. The individual ensures efficient Nursing staff schedules and supports the business office. The role requires strong organizational, communication, and multitasking skills in a dynamic long-term care environment.
Required Qualifications- High school diploma or equivalent required; associate degree in healthcare administration, human services, or related field preferred.
- Minimum 1-2 years of experience in a long-term care or healthcare administrative support role.
- Knowledge of staffing/scheduling systems, medical records, and healthcare billing systems (e.g., Point Click Care , Kronos, Matrix Care) is preferred.
- Familiarity with Medicare, Medicaid, and private insurance billing is a plus.
- Excellent organizational, communication, and customer service skills.
- Ability to manage multiple priorities and handle sensitive resident information with confidentiality and professionalism.
- STNA Certification Preferred
- Create and manage staff schedules for nursing and support departments to ensure appropriate coverage.
- Track call-offs, shift changes, and replacements; communicate with staff to fill open shifts.
- Maintain accurate records of attendance, time-off requests, and staffing levels.
- Coordinate with department heads to plan for vacation coverage, training days, and census-based scheduling needs.
- Assist with admissions paperwork, resident billing, and financial records.
- Support the collection and processing of payments, insurance information, and resident trust fund activity.
- Maintain accurate resident records and ensure confidentiality of financial data.
- Respond to family or resident inquiries regarding billing, statements, or insurance claims.
