Administrative Assistant – Property Management
Schedule: Monday-Friday, 8:00 AM - 5:00 PM
Pay: $22.00 - $25.00 per hour (DOE)
Job SummaryWe are seeking a detail-oriented and highly organized Administrative Assistant to support daily operations within our property management team. This role is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative tasks while providing excellent service to homeowners, vendors, and internal staff.
Key Responsibilities- Provide administrative support to property managers and leadership team
- Process and track architectural requests in accordance with community guidelines
- Maintain and manage insurance records for properties and vendors
- Prepare, design, and distribute community newsletters and communications
- Answer phones, respond to emails, and assist homeowners with inquiries
- Maintain organized digital and physical filing systems
- Coordinate with vendors, contractors, and residents as needed
- Assist with scheduling meetings, preparing agendas, and documenting minutes
- Support compliance tracking and documentation for HOA/association requirements
- Perform general office duties including data entry, document preparation, and record keeping
- 2+ years of administrative experience (property management experience preferred)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information with professionalism
- Detail-oriented with strong problem-solving skills
- Ability to work independently and manage deadlines
- Experience in HOA or property management environments
- Familiarity with architectural review processes
- Newsletter creation or basic design experience (e.g., Canva or similar tools)
