Ultimate Staffing Services is seeking a dedicated Dispatch Coordinator for a dynamic role in California. This position offers the opportunity to work closely with customers, vendors, and field personnel to ensure the efficient handling of service requests and the delivery of excellent customer service. The role is vital to maintaining smooth operations and upholding the company’s reputation for professionalism and reliability.
Responsibilities- Representing the company in a professional manner in all interactions.
- Utilizing company software to update service records, client billing, and invoices.
- Estimating small scopes of work as identified by field technicians.
- Assisting with ordering parts and equipment to prevent service delays.
- Ensuring high field productivity through effective planning and coordination.
- Maintaining accurate and organized records and files, reporting any discrepancies to management.
- Conducting timely follow‑ups on open service orders and responding to urgent matters.
- Complying with company policies on ethical standards and business practices.
- Administering short‑term projects and additional administrative tasks as needed.
- Supporting rental assets management and material staging activities.
- Assisting with loading, unloading, and warranty material return processes.
- Minimum one year of experience in customer service, dispatching, or a related field.
- Ability to understand, follow, and transmit written and verbal instructions.
- Knowledge of Viewpoint Service Module or similar industry software.
- Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
- Effective Communication – ensures regular and consistent communication, proactively keeping management informed.
- Collaboration – builds strong partnerships and provides valuable support to colleagues.
- Initiative – takes action independently and seeks input from others to enhance understanding.
- Thoroughness – monitors work quality, verifies information accuracy, and organizes data effectively.
- Conflict Management – maintains composure under pressure and adapts to changing conditions constructively.
- Personal Integrity – upholds ethical standards, honors commitments, and communicates openly and honestly.
- Regularly required to use hands, reach with arms, and communicate effectively.
- Occasionally required to stand and walk; must be able to lift and move up to 25 pounds.
- Specific vision abilities include close vision, distance vision, and depth perception.
The work environment is primarily an office setting with a moderate noise level.
