Administrative Assistant

We are seeking a detail-oriented Administrative Assistant to provide high-level administrative coordination to our Operations leadership and cross-functional teams. This role is pivotal in supporting QMS documentation, audit processes, and continuous improvement initiatives to ensure the smooth operation of our systems and processes.
Responsibilities- Coordinate and manage meetings, prepare agendas, take minutes, and track action items to ensure timely follow-up.
- Prepare quality reports, presentations, and business documentation to support decision-making.
- Assist in project coordination and follow-ups on operational and quality initiatives.
- Maintain and update company policies, procedures, SOPs, and work instructions.
- Ensure document control compliance, including versioning, approvals, amendment logs, document register, and distribution.
- Conduct periodic reviews to ensure all documentation is current and compliant with industry standards.
- Support internal and external audits by preparing documentation, audit trails, and tracking auditor progress.
- Monitor and follow up on CAPAs and IMPs to ensure timely closure.
- Assist with quality reviews and management review meetings.
- Generate recurring reports on a daily, weekly, and monthly basis.
- Adhere to all statutory requirements, including health and safety regulations.
- Promote and uphold company policies and procedures, particularly relating to HR and health and safety.
- Undertake any other reasonable duties as directed by the line manager.
- Comply with all agreed processes if E1 platform use is required in the future, including completing necessary training and obtaining formal sign-off from the Line Manager.
- 3-5 years of experience in administrative support, operations coordination, or QMS environment.
- Associate's or Bachelor's Degree in Business Administration or relevant work experience.
- Proficient in MS Office Suite or similar programs.
- Strong verbal, written, and oral communication skills.
- Knowledge of document control and QMS principles.
- Demonstrable drive for continuous improvement.
Skills & Qualifications
- BRCGS Issue 7 – Packaging knowledge.
- HARA Certified.
- Current US driving license.
- Excellent interpersonal skills.
- Ability to manage priorities in a fast-paced environment.
- Highly organized with keen attention to detail and confidentiality.
- Self-motivated, approachable, and confident.
This is a full-time position with working hours from Monday to Friday, 8:00 AM to 5:00 PM. The dress code is business attire, and jeans are not permitted.
Job Type & LocationThis is a Contract position based out of Fresno, CA.
Pay and BenefitsThe pay range for this position is $23.00 - $25.00/hr.
