POSITION OVERVIEW

Vendorization Specialist is responsible for performing recordkeeping functions, participating in data entry, and processing vendor applications, rate letters and cost statements. Responsible for coordinating and maintaining agency's computerized vendor master table. The specialist will oversee the collection, verification, and maintenance of vendor documentation, ensuring all necessary approvals and certifications are in place. This position is responsible for coordinating communication between internal departments and external vendors to facilitate timely and accurate vendor set-up.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Works directly with Manager, on start-up agreements ensuring financial and legal requirements have been met prior to vendorization.
  • Coordinate the end-to-end vendor onboarding process, including collection and validation of required documentation Per Department of Developmental Services (DDS) regulations, check all potential vendors to ensure disclosure information meets standards.
  • Requests and/or sends vendor information to other Regional Centers for out-of-area vendors.
  • Reviews vendor applications and required documents for compliance with vendorization and agency requirements.
  • Maintains data base for vendors including new information, changes, and historical data.
  • Completes error free data entry from coded, standardized, and non-standardized forms and documents to SANDIS system.
  • Maintains up-to-date knowledge of vendor requirements according to Title 17 and agency policy.
  • Implement, maintain, and process vendorizations in the Service Provider Directory by verifying information on emails/documentation received, adding information into VSN, and scanning into the vendor’s file.
  • Track/renew DS1891 Vendor Disclosure Statement every two years, and General Liability Insurance every year to be following per mandates from the Department of Developmental Services.
  • Provides vendors with appropriate information as needed on a regular basis.
  • As requested by the vendor update changes to Vendorization including name change, capacity, licensing, move of facility, and change in ownership including requirements for corporations.
  • Confirm final approval or denial of the Vendorization applications with Rate Specialist. Input approved vendor into system.
  • Utilizes agency computer systems, current technology, and technical support to streamline practices.
  • Maintain tracking status of perspective vendors using excel.
  • Scanning all documents within assigned Vendorization alpha.
  • Attend training sessions as required.
  • Performs other duties assigned.
  • Supports effective and efficient business practices.
  • Assures quality of agency services. Keeps designated supervisor informed of service delivery, emerging and urgent issues.
  • Completes all forms, reports, and types of documentation according to agency standards and directs paperwork to appropriate service and administrative units in a timely manner.
  • Maintains respectful and clear communication with supervisors, accepts guidance, constructive advice, and supervision direction. Seeks clarification or support, as needed.
  • Participates in education and training as assigned.
  • Electronic data entry. Extensive use of computers, calculators, and basic record-keeping. Considerable use of vision for proofreading numbers, correspondence, reports, and other written communication.
MINIMUM QUALIFICATIONS
  • High school diploma or AA and 2 years in related field.
  • Ability to type at the corrected rate of 40 wpm.
  • Ability to make rapid and accurate calculations.
  • Ability to maintain timely and accurate vendor records on an agency-wide computer system.
  • Ability to perform complex mathematical calculations and produce statistical reports.
  • Must demonstrate ability to follow oral and written instructions.
  • Ability to communicate effectively, verbally and in writing.
  • Knowledge of office methods, procedures, and practices.
  • Ability to prioritize, organize, and coordinate workload to meet deadlines in a detailed, organized manner.
  • Ability to use various computer equipment, applications, including, but not limited to spreadsheets, word processing, and email.
