Position: Finance Assistant 2

Description

Job Summary

Financial Assistant 2 supports the Finance Department by performing a variety of accounting, payroll, accounts payable, accounts receivable, and administrative functions. This position is responsible for accurately processing financial transactions, maintaining financial records, supporting grant and audit requirements, and assisting with additional finance-related duties as assigned by the Finance Director.

Work Schedule:

Days: Monday-Thursday

Hours: 8:00am-4:00pm, lunch break

Essential Duties and Responsibilities
  • Process employee timecards weekly and respond to payroll-related inquiries.
  • Process bi-weekly payroll in accordance with established payroll policies and procedures.
  • Enter and post receivable invoices into the accounting system.
  • Upload employee hours into Employee Navigator monthly.
  • File invoices and create new filing systems, folders, or binders as needed.
  • Maintain organized payroll reports and ensure printed and posted payroll records are filed appropriately
  • Assist the Finance Director with making bank deposits as directed.
  • Track and maintain departmental spreadsheets, including invoices, days of care, and other financial records.
  • Process and prepare deposits for delivery to financial institutions when required.
  • Open, sort, and distribute incoming mail and documents received from program sites or other locations.
  • Enter and record donations in Quick Books and maintain supporting documentation.
  • Assist with fundraising events by processing ticket sales, event payments, silent auction transactions, live auction purchases, raffle ticket sales, and other financial activities as needed.
  • Assist the Finance Director with additional accounting and administrative projects related to the Finance Department.
  • Finance Department staff are cross-trained and may be required to provide backup support during employee absences.
  • Assist the Chief Executive Officer (CEO) with special projects as assigned.
  • Perform periodic agency-wide responsibilities and other duties assigned by management that may not be specifically included in this job description.
Requirements Educational and Experience Qualifications
  • Minimum of 60 units in accounting or clerical training from a technical school, college, or related program.
  • Minimum of one year of accounting or related financial experience.
  • Proficient in Microsoft Office Suite, including Excel; working knowledge of database management, Membership Plus, standard office equipment, and multi-line phone systems.
  • Strong organizational and time-management skills with the ability to prioritize tasks, work collaboratively as part of a team, follow instructions, and manage multiple responsibilities simultaneously.
  • Ability to maintain strict confidentiality and exercise sound judgment and discretion when handling sensitive information.
  • Strong verbal and written communication skills with the ability to interact professionally and courteously with employees, clients, vendors, and the public.
Agency Requirements
  • Be at least 21 years of age.
  • Demonstrate a genuine interest in and commitment to serving the mission of a nonprofit organization.
  • Undergo and pass a thorough background investigation.
  • Have no record or substantiated allegation of child abuse.
  • Maintain a current, valid California driver's license and a safe driving record.
  • Provide evidence of current auto insurance.
  • Complete required tuberculosis and health screenings.
  • Work in a non-smoking atmosphere.
