Job Summary

The Asset Manager is responsible for overseeing and safeguarding all organizational assets at Exceptional Parents Unlimited (EPU). This includes managing facilities, inventory, and security systems, ensuring operational efficiency, and maintaining compliance with organizational standards. The role also serves as a liaison with vendors and provides on‑call support for urgent asset‑related issues. Additionally, the Asset Manager will lead or assist in project management initiatives related to asset optimization and facility improvements.

Functions
  • Manage and maintain EPU’s physical assets, including facilities, equipment, and inventory.
  • Responsible for the management of the EPU vehicle fleet related to the upkeep, maintenance and record keeping.
  • Ensure accurate tracking and documentation of all assets.
  • Oversee building maintenance, repairs, and upgrades, coordinating with internal teams and external contractors.
  • Implement and monitor inventory systems for supplies and equipment.
  • Conduct regular audits to ensure accuracy and prevent loss.
  • Maintain and monitor security systems and protocols to protect EPU assets; respond promptly to alerts and incidents.
  • Serve as the primary point of contact for vendors and service providers supporting agency assets, facilities, equipment, vehicles, technology systems, and related resources; negotiate service agreements, monitor vendor performance, and ensure contractual compliance and service delivery standards are met.
  • Provide after‑hours support for urgent facility, asset‑related and security issues.
  • Lead or assist in planning and executing projects related to asset management, facility improvements, and operational efficiency.
  • Track timelines, budgets, and deliverables for assigned projects.
  • Contribute to staff wellness and safety by proactively managing facilities and ensuring a secure, supportive environment.
  • Participate as a member of the Safety Committee and assist with ensuring any safety related issues are addressed.
  • Continuously assess, source, and procure cost‑effective assets, equipment, and supplies to support operational needs while optimizing value, quality, and overall cost efficiency.
  • Maintain, manage, process records, files and information in a confidential manner that meets HIPAA and other applicable confidentiality regulations.
  • Must perform other duties as they are assigned by the President/Chief Executive Officer.
Work Schedule

EPU facility hours are Monday – Friday, 8:00 AM – 6:00 PM. Flexibility is required to work varied hours, including some evenings and weekends.

Requirements Education
  • Bachelor’s degree in business administration, facilities management, or related field (preferred).
Skills
  • Strong organizational skills, excellent communication skills both written and verbal, negotiation skills, sense of urgency, attention to detail, problem‑solving, decision‑making skills, ability to work independently, collaborative, and commitment to EPU’s mission and values.
Experience
  • 2+ years experience in asset management, facilities oversight, or operations.
  • 2+ years experience in facilities project management.
  • 1+ years experience in vendor negotiations.
  • Strong knowledge of Microsoft Office products.
  • Must hold a valid California Driver’s license with a good driving record with no serious violations for the previous two‑year period. Must be able to provide proof of current automobile liability insurance.
Physical Demands
  • Moderate physical activity required, including occasional lifting up to 50 lbs., frequent walking and standing, and occasional bending, kneeling, or reaching overhead.
  • Driving a motor vehicle for local travel is required.
  • Ability to work with hand tools and computers; clerical tasks involve repetitive hand motions.
