Job Summary

We are seeking a highly organized and professional Administrative Assistant to support our Executive team. This role requires strong attention to detail, excellent communication skills, and the ability to maintain discretion while working in a fast-paced, executive-level environment. The ideal candidate will take initiative, solve problems proactively, and serve as a reliable point of contact for internal and external communications.

Job Duties

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and coordinating travel as needed.
  • Monitor and manage the CEO’s email inbox; draft and respond to communications on their behalf when appropriate.
  • Serve as a liaison between the Executive Team and internal staff or external stakeholders.
  • Answer and direct incoming phone calls with professionalism and accuracy.
  • Sort, distribute, and ensure follow-up on incoming mail and packages.
  • Prepare reports, presentations, and other documents as required by Executives.
  • Assist with planning and coordinating Executive meetings, including agendas, minutes, and logistics.
  • Track and follow up on action items from Executive meetings.
  • Perform general administrative tracks such as data entry, file management, office supply ordering, and document organization.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Attention to Detail – Looks for ways to improve and promote quality of work and demonstrates accuracy and thoroughness
  • Communication – Communicates clearly and confidently in writing, speaking, and digital formats, adapting style and tone to suit the audience and purpose.
  • Positive Attitude – Approaches work with enthusiasm and flexibility, maintaining a can-do attitude even in stressful or uncertain situations.
  • Proactive – Identifies potential issues or opportunities early and takes timely, independent action to address them without being prompted.
  • In-Office: This role operates in a professional office setting and requires regular on-site attendance. Employees in this position will use standard office equipment including a company-issued computer, headset, and webcam, along with access to printers, copiers, and other shared resources.

Minimum Qualifications

  • High school diploma or equivalent.
  • 2+ years of experience in an administrative support role.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently and manage multiple tasks simultaneously.

Preferred Qualifications

  • Associate’s or Bachelor's degree in Business Administration or related field.
  • Experience supporting C-level executives or working in a corporate office environment.
  • High degree of professionalism and emotional intelligence.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to communicate via oral and written communication, such as phone calls, emails, and ticketing systems. The employee frequently is required to stand, walk, use hands and fingers and reach with hands and arms.

This role may require long periods of sitting at a desk and working on a computer. The employee may occasionally be asked to pick up and/or move up to 15 pounds.
