Job DescriptionThis role will provide support to the Managing Director and Resort Manager. We expect that our chosen individual will be instrumental in establishing processes and structure in the opening phase of the resort and serve as a valuable resource for resort’s leadership team.

Responsibilities- Support the Managing Director and Resort Manager and the resort Executive Committee with administrative responsibilities.
- Extensive administrative duties and responsibilities, including communication and distribution of reports and correspondence, note‑taking during meetings, handling of confidential materials and information, daily distribution of the mail, scheduling, and overall correspondence.
- Correspond with finance, human resources, and other departments to facilitate proper approvals, record keeping, and filing as it pertains to Omni’s internal audit expectations.
- Manage schedule for Executive Committee meetings and events and ensure that all directors and managers receive messages and appointments in a timely manner.
- Manage day‑to‑day external guest correspondence, internal communications, and guest satisfaction surveys and feedback through internal and external systems.
- Maintain Gift Certificate Log to include value, purpose, date issued, and date redeemed.
- Coordinate all travel arrangements including reservations, transportation, amenities, and in‑house meetings and events for VIPs, corporate and ownership visits.
- Responsible for executive office ordering and expense management.
- Maintain hotel licenses, permits, contracts and certificates of insurance.
- Assist Accounts Payable with monthly reconciliation of executive office expenses.
- Perform other duties as assigned by management.
- Champion the Omni culture on property and enthusiastically promote the hotel and company.
- Bachelor's degree in Hospitality Management or equivalent field of study.
- 2+ years of previous experience in hospitality, hotels, or fine dining is preferred.
- 2+ years of previous experience as an administrative assistant is preferred.
- Bilingual, with verbal and written fluency in English and Spanish is a plus.
- Comfort with Microsoft Word, Excel, and PowerPoint is essential.
- Prior experience with Concur, Glassdoor, Medallia, Delphi FDC and Salesforce is a plus.
- Must have outstanding verbal and written communication skills, and the ability and comfort to communicate with customers and internal associates at all levels.
- Must be flexible with schedule to work, including some weekends, especially in the pre‑opening period of the hotel.
- Ability to work in a variety of settings, including sedentary seated computer work, standing for periods of time, walking the property, and occasionally lifting and moving objects of up to 50 pounds.
