Position: Front Office Coordinator / Scheduler

We are seeking a Front Office Coordinator to support us with administrative and customer support tasks. In this position, you will perform various clerical duties for the office manager and/or providers including answering telephones, taking messages, scheduling appointments, collecting insurance and health information, and creating/scanning charts. The role will also be responsible for data entry, patient account follow-up, and proactive communications in the office.

  • Answer and screen telephone calls in a courteous manner, and record messages for providers and other personnel.
  • Schedule patient appointments and procedures according to established policies and procedures.
  • Check-in patients upon arrival at the office as well as check-out upon departure.
  • Obtain accurate information from patients and ensure all registration forms are complete.
  • Collect patient and insurance payments and reconcile charges on a daily basis.
  • Verify account balances and refunds for accuracy. Provide information to patients regarding unpaid balances.
  • File records in appropriate sections of patient charts in EMR.
  • Prepare patient charts in advance and scan documents into charts in EMR.
  • Obtain patient information/medical charts from faxes and add/update in EMR.
  • Maintain files and records in a confidential manner.
  • Maintain organization and efficiency of front office, including office supply inventory.
  • Travel to nearby satellite office locations may be required.
  • Create a pleasant and welcoming environment in the front office.
  • Perform other related duties as directed or assigned.
Requirements & Qualifications
  • A high school diploma or GED certificate.
  • Previous receptionist or front office experience.
