The role ensures the smooth operation of the dental office by managing administrative tasks, scheduling, and patient communications, while delivering exceptional customer service. The ideal candidate creates a warm, professional environment and facilitates effective coordination between patients, clinical staff, and providers.
Key Responsibilities:
Greet and welcome patients as they arrive at the dental office, ensuring a positive and friendly first impression.
Manage the scheduling of patient appointments, optimizing the calendar for maximum efficiency and patient satisfaction.
Handle patient inquiries both in-person and over the phone, providing accurate information and assistance.
Verify patient insurance information and handle billing processes, ensuring accuracy and compliance with office policies.
Maintain patient records, ensuring all information is up-to-date and confidentially managed.
Coordinate with dental staff to ensure smooth patient flow and timely service delivery.
Assist with the preparation of treatment plans and financial arrangements for patients.
Manage office supplies and inventory, ensuring the front office is well-stocked and organized.
Address and resolve any patient concerns or complaints in a professional and timely manner.
Support the dental team with additional administrative tasks as needed to ensure the efficient operation of the practice.
Required
Education:
High school diploma or equivalent; additional certification in office administration or dental office management is a plus.
Required Experience:
Minimum of 2 years of experience working in a dental or other medical related office environment.
Proven experience in handling patient scheduling, billing, and insurance processing.
Experience with dental practice management software is preferred.

Skills and Abilities:
Excellent communication and interpersonal skills to interact effectively with patients, staff, and dental professionals.
Strong organizational and multitasking abilities to manage a busy front office efficiently.
Proficiency in using office software, including Microsoft Office Suite and dental management software.
Ability to maintain confidentiality and handle sensitive patient information with discretion.
Strong problem-solving skills and the ability to handle patient inquiries and concerns professionally.
Detail-oriented with a commitment to accuracy in scheduling and billing processes.
Ability to work collaboratively in a team-oriented environment while also being self-motivated.
