Executive Assistant to the Vice President of Enrollment Management Hope International University Position Information

Salary: $22–$24/hour

Organizational Relationship:
Reports to the Director of Enrollment Management Operations

Position Status:
Non‑exempt, Full‑time

Position Summary:

Provide strong administrative support to the Enrollment Management Leadership team, which includes the Directors and Vice President for Enrollment Management (VPEM).

Duties & Responsibilities
  • Submit expense reports for the VPEM
  • Ensure front desk, guest areas, and kitchen are clean and presentable
  • Handle errands and time‑sensitive requests to support the team and VPEM
  • Coordinate meetings and prepare meeting notes
  • Coordinate travel arrangements for VPEM as well as team conferences and events
  • Assist with Admissions events for students and the Enrollment Management team
  • Purchase and maintain inventory of supplies for office and events
  • Process applications and provide administrative support for Early College Program (ECP), Teacher Induction Program (TIP), and School of Advanced Leadership Training (SALT)
  • Act as a liaison between the VPEM and various university departments and outside vendors; compose written and electronic correspondence for VPEM
  • Maintain a high level of confidentiality
  • Perform other duties as assigned to support the departmental division
Qualifications

Education/

Experience:

Bachelor’s degree preferred. Experience in an office environment and/or higher education preferred.

Knowledge and

Skills:

  • Solid grasp of Excel to develop and maintain spreadsheets with varied formulas and formatting
  • Moderate to high typing speed to complete work promptly
  • Ability to compose articulate and concise business letters and other correspondence
  • “Can‑do” attitude essential for diverse tasks including filing, handling constant phone calls or drop‑by requests, and representing the Vice President or management team at meetings and university functions
  • Excellent computer skills and strong working knowledge of Microsoft Office applications
  • Excellent interpersonal and telephone skills, including customer service, to provide positive and welcoming interactions with students, parents, and other university staff
  • Self‑directed and able to take initiative
  • Flexibility to work with a wide variety of personalities and temperaments

Accountabilities: Dependability and timeliness in attendance and completion of work. Ability to maintain confidential information. Positive and professional representation of the University at all times.

Mental Demands: Must be highly organized, detail‑oriented and able to multi‑task. Able to prioritize responsibilities, solve problems, and analyze systems.

Physical Demands: Frequent pushing, carrying, and lifting. Standing 25 % of the time. Walking 25 % of the time. Lifting and carrying up to 20 lbs. Common tasks involve long intervals at keyboard and telephone, bending or kneeling to access files, and moving up to 20 lbs.

Environment: Very busy, fast‑paced, service‑oriented environment. Professional attire is required. Extensive contact with students and fellow staff in person and by phone.

Character: Must embody Christian character and be actively involved in a local church.
