Administrative Assistant III

Position located at Fullerton College, Department FC EOPS/CARE/CalWORKs, FYSI. Classification:
Administrative Assistant III. Salary Range: $6,154 - $7,430 per month.

Position Overview

This classified position supports the head of a functional activity within the college or district. Duties involve complex, specialized administrative tasks and office management to ensure efficient operations.

Responsibilities
  • Perform advanced administrative duties independently, providing information to departments, personnel, students and the public via phone and in person.
  • Prepare and maintain class schedules, staff assignments, room assignments, textbook orders, audiovisual and computer equipment, and related paperwork.
  • Assist instructors with curriculum preparation, forms, applications, and testing materials, and maintain instructional areas.
  • Plan and organize special projects, committees, receptions and events; maintain calendars, schedule appointments and meetings, and distribute minutes.
  • Assist in budgeting: maintain department expenditures, prepare budgets, approve expenditures within guidelines, and submit time sheets.
  • Maintain confidential records, develop and update specialized forms, databases, logs, files, schedules and reports.
  • Compose correspondence, format presentations, produce reports, and manage mail.
  • Order supplies and equipment, track orders, process maintenance requests, and ensure timely delivery and payment.
  • Provide functional work direction to other administrative staff; train and offer guidance.
  • Adopt emerging technologies to increase efficiency and completeness of work.
  • Participate in diversity, equity and inclusion initiatives and trainings.
  • Perform related duties as assigned.
Minimum Qualifications
  • High school diploma or GED.
  • One year of college‑level coursework in office administration, business, office technology, information technology or a closely related field.
  • Minimum four years of administrative experience; college courses may supplement.
  • Demonstrated commitment to diversity.
  • Valid driver’s license (may require travel).
Desirable Qualifications
  • Advanced budget and fiscal management experience.
  • Experience with program reporting and data analysis (VAR, SSARCC, etc.).
  • Project coordination and process management skills.
  • High‑level organizational and multitasking ability.
  • Data systems and technology proficiency (student information systems, Excel, database tools).
  • Experience collaborating on initiatives for underrepresented students.
  • Equity‑mindful approach to interactions with colleagues and students.

Work Conditions
