Under the direction of an assigned supervisor, performs specialized and responsible administrative duties in support of Neighborhood for Learning and State preschool programs and operational logistics.
Distinguishing characteristics between related classes:
The class of NfL Program Assistant performs secretarial/administrative duties that are similar in complexity as the Administrative Assistant class, but the latter performs such duties in support of a department that services District-wide personnel and/or instructional programs. The NfL Program Assistant may be assigned the more complex project-oriented duties/responsibilities to be performed under close direction and supervision, but as experience is gained, assignments gradually become more diversified and incumbents can be expected to work with greater independence.
- Perform a wide variety of specialized and responsible administrative duties in support of assigned program functions, requiring keeping abreast of program services, and interpretation of related policies and procedures.
- Prepare a wide variety of documents that may vary in complexity, independently or from oral instructions, including formal correspondence, contracts, forms, applications, memoranda and other documents.
- Establish and maintain a variety of filing systems that allow for accurate and efficient tracking and management of program related information and files.
- Conduct basic research, and run queries using appropriate database systems to compile and summarize statistical data; verify data for accuracy, completeness and compliance with established procedures.
- Prepare qualitative and quantitative reports using graphs, pie charts and other tools as appropriate to communicate program related data most effectively.
- Provide information and serve as a resource to the public, staff, and program constituents regarding NfL and State preschool program services, policies and procedures.
- Provide work direction to clerical support staff and monitor office work flow and assure compliance with established timelines, procedures and standards of quality.
- Prepare purchase orders, requisitions and work orders as necessary.
- May schedule meetings, conferences and appointments for assigned administrator.
- May arrange administrator's travel accommodations as necessary.
Performs other job-related duties as assigned.
Education / ExperienceHigh school diploma, or an equivalent, supplemented by at least 24 units of college-level course work; and two (2) years of experience performing progressively responsible administrative duties/responsibilities involving extensive document writing, data/record management and reporting. Knowledge of Ventura County First Five programs and at least six (6) months of experience (paid or volunteer) working with Grant Evaluation Management System (GEMS) is highly desirable.
Licenses/ Certifications / Other Requirements
Valid California Class C Driver’s License.
