About the Department

The Chicana/o Studies department within the Division of Academic Affairs is committed to student engagement and achievement, faculty and staff development and work‑life balance, and social justice on campus and in the community. Chicana/o Studies students graduate with skills that allow them to excel either in graduate school or the work force. Recent graduates have found employment in the areas of education, public policy, social work (public, private, and nonprofit sectors), politics, business, and the arts.

We seek an exceptional individual to join our team as the Administrative Support Coordinator II, Chicana/o Studies.

Duties and Responsibilities

Under general supervision, the Administrative Support Coordinator II provides lead administrative, technical duties for the Chicana/o Studies Department, and in direct support of the Dean’s office, Department Chair, Vice Chair, Faculty, and Special Project Leads. Administrative work includes acting as the lead office coordinator and overseeing the office workflow who leads office staff in support of the department and students.

The Administrative Support Coordinator II will lead administrative procedures and processes related to Chicana/o Studies Department course scheduling, course enrollment, student and faculty hiring, faculty workload/workbook reports, and assisting with departmental reports, such as program performance reviews, and grant reporting. Provides department budget tracking, maintenance, and reconciliation. This work includes the monitoring of multiple budget accounts for Chicana/o Studies daily operations and with departmental special projects, such as the Latinx Lab for Storytelling and Social Justice and other department led grants.

Budget includes working with multiple funding sources with differing policies and processes. These include but are not limited to:
Operating Expenses, Auxiliary Services Corporation, Foundation, Consolidated Course Fees, Procurement Cards, Start-Up Funding, Professionalization Funds, and Faculty Grants.

The Administrative Support Coordinator II supports the Chicana/o Studies Department with event and meeting planning and implementation, which includes document preparation, logistical support, and lead student assistants. Examples of these events include departmental meetings, colloquia, symposia, special guest speakers, brown bags, and commencement activities and other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or administrative support work or the equivalent. Training at a vocational school or full-time college education may be substituted for the required experience on a year for year basis.

Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.

Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed…
