Department: The department of Politics, Administration and Justice within the Division of Academic Affairs offers bachelor, master, and minor programs and supports a faculty of approximately 2,100 students. The division is committed to inclusivity, ethical practices, and academic excellence.
Duties and Responsibilities:
Under the general supervision of the Division Chair and Administrative Support Coordinator II, the Administrative Support Coordinator I will provide comprehensive administrative and graduate program support for the Division. This includes serving as a primary front‑office point of contact during peak periods, delivering high‑quality customer service to undergraduate and graduate students, faculty, staff, and visitors; supporting division communications and reporting; assisting with event logistics and hospitality;
and providing backup time‑keeping and student assistant expense reporting as needed. The Coordinator will also support graduate program operations by coordinating prospective and current graduate students’ application and admissions processes, maintaining student records and program data, issuing permits, resolving registration issues, coordinating comprehensive exam tracking processes, and assisting with accreditation and employment tracking requirements. Additionally, the role will support Unit 11 and student assistant employment processes by preparing and posting job openings, assisting with interviews and hiring documentation, coordinating onboarding and performance evaluation processes, and training and scheduling student assistants.
The Coordinator will maintain the Division’s website and social media presence in compliance with university standards and perform other duties as assigned to ensure efficient and effective division operations.
Essential
Qualifications:
- High School diploma or equivalent and two years of experience in general office, clerical or administrative support work.
- Training at a vocational school or full‑time college education may substitute for experience.
- Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
- Proficiency in English grammar, punctuation, and spelling.
- Strong knowledge of office systems with the ability to use a range of technology, systems, and software packages.
- Ability to independently handle multiple work unit priorities and projects.
- Ability to apply a variety of policies and procedures where specific guidelines may not exist.
- Working knowledge of budget policies and procedures.
- Ability to perform standard business math, including calculating ratios and percentages, tracking financial data, and making simple projections.
- Ability to draft and compose correspondence and standard reports.
- Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information or if the candidate knowingly withheld or falsified information.
