The Pollak Library empowers and nurtures our academic community in the pursuit, discovery, and creation of knowledge. We strive to advance success of the academic community by providing access to an evolving collection, developing information literacy skills, creating innovative spaces, encouraging intellectual curiosity, and welcoming various perspectives. We seek an exceptional individual to join the Collection and Scholarly Communications department within the Division of Academic Affairs as the Archives Specialist (Library Services Specialist III).

Duties and Responsibilities

Reporting to the Associate Dean for Library Collections and Scholarly Communications, and under lead coordination from the Director of Archives and Special Collections, the Archives Specialist provides essential operational and public services support for the University Archives and Special Collections. The University Archives and Special Collections serves as the primary repository for the university's historical legacy—preserving administrative records, faculty papers, student activities, and more—while simultaneously supporting academic curricula and historical research through its specialized collections, tours, and instructional sessions.

The Archives Specialist manages the Reading Room and supports researchers and visitors by facilitating access to materials, explaining reading room guidelines, and ensuring the proper handling of materials. Manage the reading room schedule, train and monitor student assistants, and respond to research inquiries via email, phone, and in person. Additionally, the Archives Specialist collaborates on workflow improvements, coordinates outreach and marketing efforts, participates in ongoing collections maintenance, and contributes actively to team meetings.

Essential Qualifications

High school diploma or the equivalent and a minimum of two years or related experience or the equivalent. Thorough knowledge of and the ability to interpret overall library policies and procedures. In depth knowledge of library operations, policies, and procedures pertaining to assigned functional area, including a solid understanding of individual work functions and the ability to adapt work procedures. Working knowledge of the library collection and its organization, as well as classification schemes.

Demonstrated expertise in creating and correcting bibliographic records. Thorough knowledge of external on-line databases, system, and resources, including the ability to perform complex online searches. Thorough knowledge of campus and library policies and practices associated with the ethical use of and access to library and online resources. Working knowledge of national standards pertaining to library operations, including a thorough knowledge of institutional standards pertaining to copyright and intellectual property protection and the ability to interpret and apply them, as well as explain them to patrons to ensure compliance.

Demonstrated expertise in using library automated systems and subsystems pertaining to the functional area, including the ability to provide database maintenance. Ability to investigate and research more complex problems, including analyzing and interpreting information. Working knowledge of library accounting and budget procedures and allocation processes, as well as the ability to apply this knowledge to assist in handling vendor accounts and the budget process.
