Construction Secretary
The District Services Department is seeking a Construction Secretary to serve under the supervision of the Maintenance and Operations Director.
Under direction, perform a variety of responsible secretarial work for the Director of Construction and Facilities; responsible for the operation of the Construction office; and perform related duties as required.
Examples of essential duties and responsibilities:
- Plan, layout, and perform a wide variety of clerical and secretarial work;
- Interpret, communicate and apply District and school rules, procedures, and policies;
- Take notation; type meeting minutes, orders, bulletins, reports, documents and statistical data;
- Prepare periodic reports, including searching for materials from various sources and handling details of presentation;
- Assist staff members or contractors in contacts with District programs, sites, and staff, referring the most complex problems to the Construction Director or project manager designee;
- Compose: correspondence, letters, memoranda, or reports independently or with minimum instruction;
- Arrange schedules, meetings, and conferences;
- Generate and maintain financial and statistical records and reports;
- Account for budgeted items utilized in the Construction office;
- Requisition and maintain records of supplies and equipment;
- Create, revise, and/or supervise the maintenance of filing systems; and
- Plan, provide work direction, and assist in the review of work of assistants.
Knowledge of:
- Office practices and procedures, including business correspondence, filing, and operation of office equipment;
Ability to:
- Interpret, communicate, and apply rules, regulations, laws and policies;
- Compile and maintain numerical records and reports;
- Make mathematical computations rapidly and accurately;
- Plan, schedule, and coordinate work of assistants;
- Compose letters independently;
- Exercise independent judgment and discretion;
- Establish and maintain effective working relationships with others.
- Take professional notation in a legible and accurate manner.
- Create electronic documents from clear copy, verbal or written instructions; and
- Display and maintain computer software competency.
Experience/Training/
Education:
Any combination equivalent to:
Graduation from high school or an accredited secondary educational institution; four years of increasingly responsible office or secretarial experience.

Perform a variety of responsible secretarial work for the Executive Director of Construction and Facilities; be responsible for the operation of the office; and do related work as required. Requires a high school diploma or an accredited secondary educational institution; four years of progressively responsible office or secretarial experience preferred, including some experience in a school district setting.
Effective 7.1.2025: :
Salary schedule increase of 2% and a 2% off-schedule payment at year-end. 2026–2027:
Salary schedule increase of 60% of the statutory funded COLA, plus any funded ongoing augmentations as provided in the State Budget Act; 2% off-schedule payment at year-end. 2027–2028:
Salary schedule increase of 50% of the statutory funded COLA, plus any funded ongoing augmentations as provided in the State Budget Act; 2% off-schedule payment at year-end
