This position reports to the Director of Admissions and plays a key role in supporting all functions of the Office of Admissions. As the primary point of contact for prospective students, the Admissions Counselor manages incoming calls, emails, and visitors, providing comprehensive information about the admissions processes to Marshall
B. Ketchum University. While the primary focus of this role will be supporting students interested in the College of Pharmacy, the position also involves collaboration and responsibilities that span across all MBKU programs. Key duties include assisting with student recruitment, coordinating admissions activities, managing data entry, application review, applicant advising, and offering general support to the admissions team.
Admissions Support
- Serve as the initial contact for prospective College of Pharmacy (COP) students, providing information and support to prospective students via phone, email, virtual video conferencing, and in person.
- Support the centralized application service, application review, transcript processing, and management.
- Manage criminal background checks, VOEs and prerequisite completion, and other onboarding requirements for incoming students.
- Update and maintain admissions-related websites and applicant portals as needed.
- Manage the COP resource email inbox.
- Perform other related tasks as required by the Director of Admissions.
- Provide data entry support for processing applications, transcripts, and other supporting credentials for admissions review.
- Verify degree and coursework completion, calculate professional experience hours, and ensure application completion, including letters of reference and supplemental materials.
- Update applicant statuses in admissions systems (e.g., Jenzabar, Element
451, etc.). - Assist with the creation and mailing of acceptance letters, managing matriculation agreements and forms.
- Create and monitor data exports for applicant progression through the admissions funnel.
- Schedule and conduct campus tours and advising appointments for prospective COP students.
- Attend Admissions events on and off campus as needed.
- Coordinate with student ambassadors for on-campus event participation, including, but not limited to, Open Houses and Interview Days.
- Assist with the creation and maintenance of admissions-related content, including admissions webpages, social media posts and email campaigns.
- Create event-related documentation, such as attendance lists, rubrics, interview day rosters, etc.
- Maintain general knowledge of campus activities, programs, and admissions requirements across all university programs.
- Experience with public speaking.
- Ability to communicate effectively with prospective students and families, especially with college-age students.
- Computer literacy with:
Microsoft Word, Power Point, Excel, Google‑Suite. - Excellent written and oral communication skills.
- Must be available to work on occasional weekends.
- Ability to prioritize tasks, organize time and work with frequent interruption.
- Bachelor’s degree required.
- 1-2 years of experience in admissions, enrollment management/student recruitment.
